GENERAL STATEMENT OF DUTIESThe Operations Office Assistant performs administrative duties in support of the TCA Operations Department that includes the Director of Operations (DO), Executive Assistant to the Director of Operations, Facilities Director, Technology Director, Lead School Nurse, and School Safety Officer and Risk Manager.
ORGANIZATIONAL RELATIONSHIPReports to the Executive Assistant to the Director of Operations. The following statements are illustrative of the essential functions of the job and do not include other non-essential or marginal duties that may be required. The description may not include all functions performed by incumbents in various locations. The Classical Academy reserves the right to modify or change the duties or essential functions of this job at any time.
ESSENTIALJOB FUNCTIONS
- Manages annual blanket purchase orders for the Operations Department.
- Enter all other invoices and purchase order requests into iVisions software system for the Operations Department.
- Point of contact for Facility Use Agreement contracts.
- Manages Facility Use Program through Bound.
- Tracks and deposits payments from the Facility Use Program.
- Enter mileage claims for the department.
- Orders and distributes supplies for staff in the Operations Department.
- Prepares weekly All Staff Communication by gathering, proofing, and emailing pertinent school information.
- Prepares and updates various correspondence and electronic departmental lists (Facilities Information, Admin Birthdays, OPS Shirt Sizes, OPS assets).
- Arranges the Operations Department's social gatherings.
- Maintains a high level of confidentiality in the course of all job duties
- High level of accuracy and precision
- Assists with maintenance of various databases, reports, and records.
- Interprets and explains TCA rules and procedures to the public.
- Assists students/staff as needed.
- Answers telephone, provides information to callers, takes messages, forwards phone calls as appropriate, greets visitors to office and provides information or directions.
- Opens, sorts, and distributes incoming mail, and prepares outgoing mail as required.
- Purchases, maintains, and provides hospitality support as necessary for the administrative office suite.
- Performs other duties as required.
High school diploma or GED equivalent.
EXPERIENCEGeneral office experience in an educational setting preferable.
KNOWLEDGE, SKILLS, AND ABILITIES- Ability to maintain a high level of confidentiality in the course of all job duties.
- Must be able to type a minimum of 50 words per minute.
- Must be proficient with various software programs, including Microsoft Office (Word, Excel, PowerPoint, etc.).
- Strong organizational and interpersonal skills.
- Ability to prepare correspondence on routine matters.
- Ability to perform routine office management skills independently
- Ability to maintain accurate filing systems and related files.
- Ability to operate standard office equipment, performing a wide range of supportive clerical tasks.
- Ability to follow oral and written instructions.
- Ability to perform multiple tasks efficiently and possess strong planning and prioritizing skills.
- Ability to establish and maintain effective working relationships with supervisors, co-workers, administrators, departments, ASD
20 personnel, and the public. - Ability to communicate effectively in oral and written English.
- Requires contact with other departments, employees, supervisors, administrators, other agencies, and the public.
- Contacts are generally sensitive in nature and require a high degree of professionalism and confidentiality.
- Work is generally performed within a standard office environment.
- Work normal business hours.
