Position Summary
Performs advanced administrative, records management, and financial support functions to ensure effective school operations. Coordinates office procedures and supports compliance with district, state, and federal requirements.
Essential Job Functions
Includes functions in School Administrative Specialist II position, in addition to the below.
- Oversees daily office operations and coordinates workflow among support staff
- Maintains student records, transcripts, immunization records, and health files
- Processes enrollment/withdrawal documentation and ensures compliance with regulations
- Prepares attendance verification, eligibility, and related reports
- Assists with payroll processing and substitute documentation
- Collects, records, deposits, and reconciles school funds in accordance with procedures
- Maintains inventory of supplies and equipment; oversees ordering
- Issues building keys and monitors office equipment maintenance
- Assists with preparation of newsletters, reports, meeting agendas, and minutes
- Coordinates collection and processing of required district, state, and federal forms
- HS Only:
Assists with graduation preparation, GPA calculations, and related documentation - May facilitate athletic eligibility verification and related recordkeeping
- Provides first aid and administers/monitors medication in compliance with policy
- May train and provide guidance to School Specialist I staff or student assistants
Knowledge, Skills, and Abilities
- Knowledge of school office procedures and student information systems
- Knowledge of basic accounting and bookkeeping practices
- Ability to reconcile records and maintain accurate documentation
- Ability to interpret and apply district policies and procedures
- Strong organizational and problem-solving skills
- Ability to train and oversee others
- Proficiency in word processing, spreadsheets, and database systems
Qualifications
- High School diploma or equivalent ; coursework in office practices or business preferred
- Minimum three (3) years clerical, secretarial, bookkeeping, or school office experience
- Demonstrated proficiency in computer applications and accounting systems
- Preferred CPR/First Aid Certification
Working Conditions & Physical Demands
Work is performed in a typical school office environment. Duties are primarily sedentary with periods of walking and standing. May lift and carry up to 20 pounds. Requires ability to operate office equipment and communicate effectively.

- Non-Recurring Pay: 7% of base salary in Non-Recurring Pay (distributed as 3.5% on November paycheck and 3.5 % on May paycheck).
- Staffing Stability Incentive (Adams Elementary, Galileo Middle School and Mitchell High School): ESP employees will receive the equivalent of one salary step divided over 12 pay periods.
Base Salary Setting: Employment, assignment and salary placement, is in accordance with job description requirements. A work history is required to demonstrate job title, job duties and time worked in the position. Grade placement for ESP positions is determined by the Salary Schedule by Job Title resource.
