Job Title: Case Management Support Specialist

FLSA Status: Exempt
Reports to: Director of Exceptional Student Services
Work Hours/Days: Full-Time or Part-Time based on student enrollment and special education service needs. Caseload expectations will be aligned with FTE assignment in accordance with state and federal special education guidelines.
Wage: $65-$85 per hour. Compensation will be prorated based on FTE assignment.
Benefits: Benefit eligibility is based on FTE status. Employees working 30 hours or greater per week are eligible for full benefits including health, dental, vision, 401k and paid leave. Employees working less than 30 hours per week will get paid sick leave.

CaseManagement Support Specialist
Job Function
The Case Management Support Specialist strengthens inclusive, data‑driven student services by partnering with school leaders, special education teachers, related service providers, paraprofessionals, and families to ensure timely, compliant, and high‑quality IEP processes. This role enhances MTSS/RTI systems, trauma‑informed practices, and SEL‑aligned communication by supporting accurate documentation, coordinated scheduling, and culturally responsive family engagement. The Case Management Support Specialist ensures that evaluation and IEP workflows run smoothly so educators can focus on delivering effective academic, behavioral, and social‑emotional supports for students with disabilities, possibly including those served through 504, Gifted, and Multi‑Lingual Learner pathways.
Through collaborative teaming and targeted coaching, this position also builds capacity and mentors novice special education teachers in effective case management practices. Remote coordination and digital compliance support may be included.
IEP Process Coordination
- Track evaluation and IEP timelines and alert case managers to upcoming deadlines.
- Prepare draft documents, notices, and meeting invitations aligned to district and state requirements.
- Schedule IEP meetings and coordinate participant availability, including interpreters when needed.
- Maintain accurate student files and ensure documentation meets federal, state, and district standards.
Family & Team Communication
- Support the consistent point of contact for families regarding scheduling, paperwork, and general process questions.
- Support coordination of translation and interpretation services to ensure equitable access.
- Model facilitation of communication between teachers, related service providers, administrators, and families to support smooth workflows.
Documentation & Data Management
- Supports service logs, progress updates, and compliance data into district systems with accuracy and timeliness.
- Organize and maintain digital and physical records to support audits, monitoring, and internal reviews.
- Generate reports and summaries that help teams track compliance and student support needs.
Capacity Building & Staff Support
- Mentor novice special education teachers in case management routines, documentation expectations, and compliance practices.
