Responsibilities
- Essential Functions
- Will work with and report to the Director of Finance; as food purchasing is the bulk of the position’s time, the Executive Chef will be the primary day‑to‑day contact and leader for the Purchasing Manager. The Purchasing Manager will also work closely with the Food and Beverage Operations Manager for beverage ordering and internal controls.
- Responsible for putting away and organizing all food, dry‑good deliveries, and mail with the team, which includes removing items from the purchased container into the appropriate storage container.
- Collaborate with the Executive Chef to ensure that all walk‑ins, freezers, coolers, and dry storage are always clean, neat, and organized and that the FIFO system is in place.
- Remove all product packaging materials from the kitchen facility into the appropriate receptacle in coordination with the stewarding team.
- Develop annual purchasing objectives for directly supervised materials, products, and services with the goal of reducing costs and improving service to internal customers.
- Search applicable markets for the best sources with a focus on utilizing Avendra, evaluate requests for quotes on materials, products, and services.
- Prepare resort specifications and use competitive bidding in negotiating to achieve the best value for resort and club purchases, maximizing the use of the Avendra relationship to its fullest.
- Establish and maintain effective communications with resort department heads.
- Responsible for data entry and management, including utilizing Reeco for purchasing and receiving and data input into receiving logs.
- Responsible for inventorying stock in the general storeroom and preparing purchase orders through Reeco.
- Assume duties and responsibilities of receiving all goods.
- Assist in month‑end inventories.
- Participate in quarterly linen, china, glass and silver inventories and coordinate orders with food and beverage management.
- Maintain perpetual inventories on high‑volume operational supplies.
- Keep all files current and up to date.
- Responsible for the cleanliness of the loading dock, dumpster and receiving areas, and ensuring traffic control outside this area (to include KC Grille).
- Coordinate off‑site storage and participate in resort and club storage reviews.
- Participate in all F&B resort and club meetings, attend weekly operational meetings, and any other meetings that the Director of Finance deems necessary.
- Produce a daily receiving log and distribute it to appropriate managers.
- Responsible for distributing all arriving mail and packages as soon as they are received.
- Prepare and distribute dry storage requisitions from the purchasing storeroom for remote kitchens.

- Respond to any reasonable task as assigned by the Director of Finance, the Executive Chef and culinary team, the front of the house management team, and any leadership position of property.
- High school graduate; B.S. or B.A. in business or purchasing preferred.
- Must have extensive knowledge of all aspects of the purchasing function, including policies and procedures, negotiations, administration, inventory management, and distribution.
- Certified Purchasing Manager designation preferred.
