Data Librarian

Responsibilities
  • SharePoint & Teams Management
    • Develop, maintain, and improve SharePoint document libraries, site structures, folders, metadata fields, views, permissions, and navigation.
    • Organize Microsoft Teams channels and associated file libraries to support project delivery and internal collaboration.
    • Help standardize the creation, naming, organization, archiving, and retirement of Teams and SharePoint sites.
    • Coordinate with IT or system administrators on permissions, access control, retention policies, storage limits, and site governance.
  • File and Data Management
    • Create and maintain file naming conventions, folder structures, tagging standards, document types, and metadata schemas.
    • Support migration of files from network drives, local storage, legacy repositories, or ad hoc Teams locations into approved SharePoint structures.
    • Review file repositories to identify duplicates, obsolete files, missing metadata, unclear ownership, or inconsistent organization.
    • Assist project teams with organizing active project files, reference materials, deliverables, templates, contracts, reports, meeting records, and closeout documentation.
    • Maintain logical records‑management practices so files can be retrieved, audited, transferred, archived, or disposed of appropriately.
  • Governance and Standards
    • Develop and maintain written standards, guides, checklists, and job aids for file organization, SharePoint use, Teams structure, and data stewardship.
    • Support implementation of data‑governance practices, including content ownership, version control, document lifecycle, retention, and access management.
    • Work with project managers, technical leads, and administrative staff to define repository requirements and information workflows.
    • Help establish minimum standards for project setup, folder organization, document control, and project closeout.
    • Monitor compliance with agreed‑upon organization standards and provide corrective recommendations when needed.
  • User Support and Training
    • Provide direct support to staff on where to store files, how to name documents, how to use SharePoint libraries, and how to organize Teams channels.
    • Create simple training materials, quick reference guides, and onboarding content for new users.
    • Conduct periodic training or working sessions with project teams to improve data hygiene and file‑management practices.
    • Serve as a first point of contact for questions related to file location, repository structure, SharePoint organization, and Teams file practices.
  • Search, Retrieval, and Knowledge Reuse
    • Improve findability of information through metadata, naming standards, site navigation, indexed content, and search‑friendly organization.
    • Help identify reusable project examples, templates, lessons learned, reports, technical references, and standard operating procedures.
    • Maintain curated libraries of key documents, project artifacts, forms, templates, and reference materials.
    • Support knowledge transfer by organizing completed project files and making useful content available for future work.
  • Quality Control and Continuous Improvement
    • Perform periodic audits of SharePoint sites, Teams channels, and document libraries.
    • Track common file‑management issues and recommend process improvements.
    • Support cleanup initiatives, repository redesigns, data migration projects, and digital workplace improvement efforts.
    • Coordinate with business system owners to align file organization with tools such as Microsoft 365, Power BI, GIS platforms, asset management systems, or document control systems when applicable.
  • Additional Responsibilities
    • Conduct activities in line with internal procedures, legislation, and industry standards.
    • Pursue continuous professional development and maintain a high degree of discipline, knowledge and awareness.
    • Work in a safe manner at all times and report all health and safety incidents and concerns.
    • Additional duties as required.
Qualifications
  • Bachelor’s/Master’s/Doctoral degree in Information Management, Information Systems, Computer Science, Library Science, Business Administration, or related field.
  • 8 years of experience.
