Job Description & How to Apply Below
Heuser & Heuser, LLP is seeking a highly organized and detail-driven Legal Assistant to support attorneys and paralegals in managing personal injury cases from intake through settlement and disbursement.
This role combines traditional legal assistant duties with settlement and billing coordination responsibilities. The Legal Assistant serves as a key operational partner in the case lifecycle, ensuring legal documents are accurate, communication is timely, and financial documentation related to settlements is complete and compliant.
Responsibilities- Case & Legal Support
• Prepare, format, proofread, and organize legal documents, pleadings, discovery, and exhibits.
• Maintain accurate and organized case files (digital and physical).
• Schedule client meetings, deadlines, court dates, and case events.
• Support attorneys and paralegals in day‑to‑day case progression. - Client & Communication Management
• Schedule calls and in‑person meetings for the legal team.
• Coordinate correspondence via phone, email, and in‑person meetings.
• Assist clients with questions, notary services, and settlement‑related paperwork.
• Communicate clearly and professionally during sensitive stages of the case lifecycle. - Billing & Settlement Coordination
• Prepare settlement disbursement documentation and supporting records.
• Review and reconcile medical billing statements, liens, and client balances.
• Verify balances with medical providers and lienholders.
• Assist in calculating settlement distributions and tracking case‑related expenses.
• Coordinate payment processing and documentation accuracy prior to disbursement. - What Success Looks Like in This Role
• Attorneys and paralegals can rely on accurate, organized case support without constant follow‑up.
• Settlement paperwork is complete, accurate, and ready when cases resolve.
• Clients experience clear communication and professional follow‑through.
• Deadlines, billing records, and case documentation stay clean and audit‑ready.
• Workflows run more smoothly because the Legal Assistant anticipates needs instead of reacting to them.
- High School diploma or equivalent required.
- 1–2 years of experience in a legal office or law firm preferred (personal injury or civil litigation strongly preferred).
- Experience supporting billing, settlement, or financial documentation is highly desirable.
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook).
- Familiarity with File Vine case management software preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities with professionalism and discretion.
$20 – $23 hourly.
