Position: Executive Assistant to the Town Administrator
Location: Berthoud

Summary

Under the general direction of the Town Administrator, this position provides high-level administrative, analytical, and project support to the Town Administrator’s Office. The Assistant to the Town Administrator supports the effective management and operations of the Town by coordinating administrative functions; conducting research, analyses, and reporting; and managing a variety of assigned projects and initiatives. This position serves as the primary administrative support contact for the Mayor and Town Board, while reporting to the Town Administrator.

Essential Duties and Responsibilities

  • Provide high-level administrative and organizational support to the Town Administrator and Deputy Town Administrator, including scheduling, coordination of materials, tracking of assignments, and follow-up on action items.
  • Serve as the primary administrative support contact for the Mayor and Town Board, including tracking of Board actions and requests.
  • Conduct administrative studies, research, and analyses on a variety of operational, organizational, and policy-related topics; prepare summaries, recommendations, and reports for Town leadership.
  • Compile, analyze, and maintain data to support or produce monthly, annual, and special reports regarding Town operations and decision-making.
  • Lead and support a variety of special projects and initiatives assigned by the Town Administrator, coordinating with internal departments and external partners as appropriate.
  • Track and report on local, regional, and state policy issues.
  • Assist with organizational and productivity improvements.
  • Respond to citizen requests or complaints as assigned, ensuring issues are documented, routed appropriately, and followed through to resolution.
  • Coordinate administrative aspects of consultant and vendor contracts related to assigned projects, including tracking deliverables, schedules, and invoicing.
  • Maintain accurate records, files, and documentation related to Town Administrator’s Office activities, projects, and Board actions.
  • Perform related duties as assigned.
Knowledge, Skills, and Abilities
  • Experience providing high-level administrative or executive support, including managing multiple priorities and complex assignments.
  • Strong analytical and critical‑thinking skills, with the ability to research issues, evaluate information, and prepare clear and concise reports.
  • Knowledge of research methods, data collection techniques, and report preparation.
  • Understanding of municipal operations, governance structures, and administrative processes.
  • Ability to organize information, track tasks and deadlines, and follow projects through to completion.
  • Proficiency with standard office software, including word processing, spreadsheets, databases, and presentation tools.
  • Ability to communicate effectively and professionally in writing, by phone, and in person.
  • Ability to exercise discretion, maintain confidentiality, and work with sensitive information.
Education
  • High School Diploma or GED – Required
  • Bachelor's degree in public administration, business administration, communications, or closely related field – Preferred
Work Experience
  • At least one year experience working in the public sector – Preferred
Certificates And Licenses
  • A valid Colorado Driver’s License (Class

    C) is required or must be obtained within 30 days of employment.
Work Environment
  • May experience extreme cold, extreme heat, humidity, wetness, noise, hazards, temperature change, atmospheric conditions, and vibration.
Physical Demands
  • May include reading, climbing stairs, crouching, grasping, gripping, handling, kneeling, pinching, pulling, pushing, reaching, vision, repetitive motions, sitting, standing, walking, stooping, and carrying/lifting up to 50 lbs.
