Office Administrator – Financial Services Job Description
Joey Bocci Financial, LLC in Erie, CO needs a personable, detail‑oriented Office Administrator / Client Services Associate to join our team. As our Office Admin/Client Services Associate, you must possess a professional, pleasant service‑oriented demeanor with business‑appropriate phone manners; the ability to deepen and broaden client relationships; confidence in your ability to identify opportunities to create and improve efficiency; and a strong ability to work independently.
Our ideal candidate is motivated to serve others, is a self‑starter, and is able to easily see gaps and fill them with a positive attitude. They maintain high ethics and integrity, client and firm confidentiality and uphold a professional image with external and internal business contacts. They must also have excellent verbal and written communication, organizational skills, strong math abilities, a penchant for detail, and problem‑solving skills to resolve routine client questions.
Compensation range is $22-25 per hour, plus bonus based on experience and exceptional performance, allowance for healthcare expenses, and generous simplified employee pension (SEP) contribution after year two.
Primary Duties of This Position- Serve our clients and advisors with a wide variety of clerical and staff support services under limited supervision.
- Provide office support, including answering telephones, assisting visitors, scheduling, and coordinating multiple calendars, meetings, events, interviews, and appointments.
- Complete paperwork for meeting preparation and to open and maintain accounts in a timely manner with accuracy and precision.
- Transcribing and preparing correspondence, agendas, and other documents as directed.
- Help identify, establish, and streamline processes and procedures to constantly improve office efficiency and ensure that the branch and staff remain compliant with the rules and regulations of our industry.
- Demonstrate the ability necessary to process account and transaction information, help clients move money between accounts and resolve and/or refer problems or inquiries.
- Manage and track multiple detailed tasks and assignments with frequently changing priorities and deadlines in a fast‑paced small office work environment.
- Prepare reports by performing basic information gathering and analysis as directed.
- Establish, maintain, and update files, databases, records and/or other documents.
- Initiate efficiency and productivity improvements to maintain all processes, in a correct and timely manner.
- Maintain routine contact with clients to obtain, clarify or provide facts and information as you project a professional image.
- Stay up to date with modern office management methods and techniques; operate standard office equipment and use required software applications.
- Sort, screen, and distribute mail; order and maintain office supplies; and maintain office cleanliness, appearance and professionalism including light cleaning, etc.
- Other duties and responsibilities as assigned.
- Minimum 3 years experience with financial office administration (preferred but not required).
- Proficiency with Microsoft Office Suite to produce professional documents.
- Strong mathematical abilities to gather data involved in preparing reports.
- Ability to work on multiple projects simultaneously and follow instructions while adhering to deadlines.
- Ability to closely monitor details and ensure reports, correspondence and databases are accurate at all times.
- The desire to develop and grow professionally and understand how the financial services market works.
