SUMMARY OF
JOB DESCRIPTION:
Responsible for ensuring the smooth and efficient operation of the Superintendent’s Office, providing project management and administrative support to the Superintendent and School Board and performing as the Designated Election Official for School Board elections.
- Superintendent Assistance – scheduling appointments, maintaining calendar, correspondence, planning and organizing district activities and events.
- Board of Education Assistance – recording minutes of meetings and work sessions; preparing, copying, and mailing agendas, minutes and attachments for Board meeting agenda packets; contacting Board members regarding meeting cancellations, special meetings and work sessions; arranging Board meetings.
- Cabinet Participation – preparing agendas, notifying members of scheduled and cancelled meetings, taking notes and minutes when required, arranging team retreats, and serving as main communicator for administrators regarding A‑Team meetings.
- DAC (District Accountability Committee) Duties – scheduling and facilitating meetings; researching state law and Committee bylaw compliance issues; advising Superintendent and Chair; generating and distributing agendas, minutes and supporting documents; coordinating with the Committee regarding approval of DAC membership, monthly DAC reports to the Board and formal submission of budget recommendations; managing annual school climate surveys; providing clerical support for the Annual Report to the Community;
maintaining accreditation records, generating accreditation documents, and organizing the submittal of accreditation certification for Board approval; managing the DAC budget. - Policy Management – contacting the Colorado Association of School Boards regarding sample policies; consulting District’s legal counsel on laws pertaining to specific policies; preparing policy books and information for new administrators and Board members; drafting policy revisions and new policies as instructed; maintaining a current copy of district policies online.
- Expulsion Hearings – scheduling, recording, and keeping minutes of hearings; maintaining expulsion records; creating follow‑up correspondence to parents; and preparing written reports to Superintendent and Board.
- Purchasing & Budget – tracking expenses; printing reports; making travel and conference/workshop arrangements for Superintendent and Board members; issuing purchase orders; and checking requests for payment.
- Election Official – acting as the designated official during all district elections, including candidate elections, district mill levies, and bond issues; working with Summit County Clerk's office to organize elections; distributing candidate petitions; verifying petitions at the County Clerk's Office; maintaining a strict election schedule.
- Student Services – maintaining homeschool and homebound student records; generating correspondence with parents; maintaining inter‑district and out‑of‑district enrollment records and assisting parents with forms; maintaining a current tutor list; ensuring all tutors are fingerprinted; providing tutor information to counselors, parents, and teachers.
