Job Description
The Preschool Administrative Assistant provides administrative and clerical support to ensure the smooth operation of the preschool office. This role involves communicating with parents, maintaining student records, assisting with enrollment, and supporting teachers and leadership staff. The position is a 10‑month full‑time role with 180 working days on a four‑day school week.
Job Responsibilities- Greet and assist parents, visitors, and vendors professionally.
- Answer phone calls, emails, and general inquiries.
- Maintain accurate student and staff records.
- Assist with enrollment, registration, and attendance tracking.
- Process paperwork, forms, and billing documentation.
- Schedule appointments, meetings, and events.
- Support communication between families, teachers, and administration.
- Order and maintain office supplies.
- Assist with compliance and licensing documentation as needed.
- Perform other duties as assigned.
- High School Diploma or equivalent (High School/Trade School degree preferred).
- Relevant experience is preferred but may not be required.
- Ability to manage multiple tasks/priorities with frequent interruptions.
- Detail‑oriented with strong communication and interpersonal skills.
- Customer service and public relations skills.
- Critical thinking and problem‑solving skills.
- Ability to maintain confidentiality of student information in compliance with FERPA.
- Valid driver’s license.
- Employment contingent upon successful completion of a criminal background check and fingerprinting.
- CPR and First Aid certifications required within 90 days of hire.
- Experience with Student Information Systems.
- Proficiency with Microsoft Office, Google Workspace, financial software, and email/calendar systems.
