Job Description:

We are seeking an exceptional team player who is highly efficient, organized, and service-oriented to be the welcoming face of our business. The ideal candidate will greet visitors, clients, and team members with a professional and positive attitude, manage incoming phone calls and emails, schedule meetings, sort and distribute mail, and assist with various operational tasks as needed. The right candidate will have strong communication skills, a strong work ethic and a proactive approach.

Responsibilities:
  • Greet and welcome visitors and clients with a friendly and professional demeanor.
  • Serve as the first point of contact by answering, screening, and directing phone calls and emails to appropriate individuals.
  • Sort, distribute, and manage incoming and outgoing mail, including handling deliveries.
  • Schedule and coordinate meetings, appointments and conference room bookings.
  • Provide information and assistance to visitors and staff with a service-oriented approach.
  • Email and communicate relevant information to the appropriate parties.
  • Send potential clients marketing material via email.
  • Assist with general administrative tasks to support various departments, including data entry, paperwork, photocopying, etc.
  • Maintain a clean and organized reception area.
Qualifications:
  • Ability to handle multiple tasks efficiently and manage time effectively in a fast-paced environment.
  • Previous experience as a receptionist or in a similar role is required.
  • Experience with multi-line phone systems (1 year required).
  • Proficient in using office equipment (e.g., fax machines, printers, etc.)
  • Professional and confidential handling of client information.
  • Friendly and approachable demeanor with a positive attitude and strong work ethic.
  • Ability to work with minimal supervision while maintaining a high level of organization and attention to detail.
  • Strong communication skills. both verbal and written.
  • Exceptional organizational skills with keen attention to detail.
  • A high school diploma or equivalent is required; additional qualifications are a plus.
