Overview
The Enrollment Management division at CU Boulder invites applications for the Withdrawal Coordinator position. This role provides front-line customer service for the Enrollment and Records Services (ERS) unit within the Office of the Registrar, supporting students, parents, alumni, staff, faculty, and the public with registration and records procedures and policies. It requires understanding and applying academic policies, procedures, and deadlines, and improving processes related to withdrawals, leave of absence applications, and tuition disputes.

Key Responsibilities- Work Lead for Withdrawals
:
Serve as a work lead for the ERS Team with specialized knowledge in withdrawals. Process the majority of enrollment withdrawals, leave of absences, academic and behavioral suspensions, tuition disputes, cancellations, etc. Delegate as needed to ensure timely and efficient processing. Train records representatives, develop consistent training resources, and create benchmarks for measuring knowledge gained. - Enrollment and Records Specialist
:
Act as a records specialist in the Client Services team. Learn policies, systems, and data transactions (web-based applications, electronic forms and workflows, VBAmacros, iMacros, and other script/code-based tools). Provide backup support and assist with weekly phone and in-person front desk shifts. Support processing changes such as Intercampus Enrollment registrations, course reservation requests, tuition benefits, Intra-University Transfers, Graduate to PhD changes, and related processing;
research and reconcile COF record errors; update Campus Solutions or Permanent Records Cards; manage submitted forms and electronic files; coordinate with Systems and Data team. - Business Process Auditor
:
Research current practices, benchmark against peers, conduct time-and-motion studies, evaluate feasibility and cost, and propose data-driven improvements. Work with campus technology to automate or improve processing or services; collaborate with reporting and development teams to implement changes and test improvements; liaise with OIT, UIS, and internal Systems and Data units for automated processes. - Communication/Customer Service

Represent the Office of the Registrar professionally to diverse customers; provide accurate information via phone, chat, email, and walk-ins; support internal trainings; apply best practices and gather qualitative data to improve service; exercise judgment and problem-solving for complex situations; support Systems and Data teams with registration and program issues. - Special Project Coordinator and Liaison
:
Support senior Registrar leaders with special projects and outreach, including outreach management, data collection and analysis, and coordination with CU offices. Partner with the Transcript Coordinator to ensure Client Services metrics are collected and analyzed using tools such as SharePoint, Power BI, and Excel.
- Minimum of two days in-office per week.
- A bachelor’s degree from an accredited four-year institution or equivalent combination of education and experience.
- Experience in a university registrar’s office or a university enrollment management or student services office (e.g., financial aid, admissions, bursar).
- Experience working with a student information system and imaging system.
- Experience using databases and computer systems for processing time-sensitive and confidential materials.
- A strong commitment to customer service and ability to perform professional, courteous, and accurate service in a fast-paced, high-volume environment.
