Administrative Assistant III
This position provides administrative support to the Dean, Department Chairs, faculty, instructors, and assigned academic programs at Arapahoe Community College. Primary duties and responsibilities include:
- Design, implement, and continuously improve administrative processes and office procedures
- Develop and maintain records management practices, communication workflows, tracking systems, and operational processes to ensure consistency, efficiency, and continuity
- Coordinate meetings and events, manage calendars, and prepare reports
- Serve as primary point of contact for students, faculty, staff, community members, and external partners
- Facilitate communication within the academic unit and respond to inquiries
- Track and refer student concerns
- Support recruitment and retention initiatives
- Assist with outreach activities and events
- Maintain communication channels and distribution lists
- Develop and distribute informational and promotional materials in collaboration with faculty and leadership
- Develop and maintain operational processes supporting instructional activities and assigned academic programs
- Design and maintain data tracking tools, reporting mechanisms, onboarding practices, and operational workflows
- Establish practices for classroom and office logistics
- Provide accreditation and assessment support, ensuring compliance with all applicable third-party accreditor requirements
- Process FLAC and assist with grant administration
- Build accurate course schedules
- Coordinate events including career fairs, orientations, and graduations
- Support special projects and cross-functional coverage
- Coordinate purchasing, travel, and related financial processes for assigned academic units
- Serve as designated P-Card holder and process purchasing transactions with associated documentation
- Develop and maintain expenditure tracking practices to monitor committed and anticipated expenditures
- Monitor budget reports, identify resource needs and spending trends
- Compile information and recommendations regarding annual administrative operating needs and purchasing requirements
- Coordinate travel and reimbursement paperwork
- Facilitate catering and official function requests
- Ensure compliance with institutional and fiscal procedures
- Participate in shared governance and contribute to the overall operation and continuous improvement of the College
- Support institutional initiatives and serve on committees or work groups as assigned
- Assist with implementation of new processes and systems
- Contribute to assessment and planning activities
- Collaborate with colleagues across departments and divisions to advance institutional goals and improve student success
- Perform other duties as assigned

Minimum Qualifications:
Experience Only:
Three (3) years of general office or clerical experience, including at least one (1) year of experience using Microsoft Excel or a similar spreadsheet program to organize, analyze, and report data. This may include creating and maintaining spreadsheets, using formulas/functions, sorting and filtering data, generating charts or simple reports, and preparing data for sharing with others. Daily interaction with students, faculty, and staff require that this position have strong interpersonal, communication, and organizational skills.
Computer literacy is a must. Effective verbal and written communication skills are necessary for success in this position. Education and Experience:
College, university, or non-correspondence business school course work from an accredited institution in Business or related field may substitute for the clerical experience as listed above on a year for year basis. Preferred Qualifications:
Experience involving a wide range of clerical responsibilities. Working knowledge of Banner or similar system. High level of speed and accuracy regarding data entry. Attention to detail (ability to check for typographical, grammatical and spelling errors, etc.). Experience and ability to work in a fast paced customer service and data entry environment, and ability to handle multiple tasks simultaneously while meeting targeted deadlines.
