Executive Administrative Assistant
The Executive Administrative Assistant provides comprehensive administrative support to the Chief Executive Officer (CEO), Chief Academic Officer (CAO) and Chief Human Resources Officer (CHRO). Additionally, this position will play a key role in coordinating School Board meetings, agendas, retreats, and related logistics. This team member is a proactive, detail-oriented professional with exceptional organizational skills and the ability to manage multiple priorities in a fast-paced, dynamic environment.
This role requires a high level of discretion, professionalism, and the capacity to handle sensitive and confidential information.

Compensation:
This is a full-time, 12-month, exempt position. The annualized salary is estimated to be between $68,763- $99,706 and is dependent upon experience. See a detailed outline of benefits and additional compensation at the bottom of the job description.
Essential Functions:
Executive Support:
- Serve as the primary point of contact for the CEO, CAO, and CHRO, managing their schedules, appointments, travel arrangements, and handle all incoming communication including emails, phone calls, and correspondence, ensuring timely and appropriate responses.
- Coordinate and manage all executive meetings, including preparing agendas, materials, and minutes.
- Assist in the preparation of presentations, reports, and other documents as needed.
School Board Coordination:
- Organize and coordinate School Board meetings, including scheduling, preparing agendas, and distributing materials.
- Manage logistics for School Board retreats, including venue selection, travel arrangements, and accommodations.
- Record and distribute minutes of School Board meetings, ensuring accurate documentation and timely follow-up on action items.
- Serve as the primary point of contact for School Board members, addressing inquiries and facilitating communication between the Board and executive leadership.
Administrative Management:
- Oversee the day-to-day administrative tasks for the executive office, ensuring smooth operations and efficient workflow.
- Manage office supplies, equipment, and facilities to support the needs of the executive team.
- Maintain and organize executive files and records, both digital and physical, ensuring confidentiality and easy accessibility.
- Manage and input all receipts and invoices into the financial system.
Project Coordination:
- Assist in the planning and execution of special projects and initiatives led by the executive team.
- Coordinate cross-functional activities, ensuring alignment and timely completion of tasks and deliverables.
- Track and follow up on action items and project timelines, providing regular updates to the executive team.
Event Planning and Coordination:
- Plan and coordinate internal and external events, including board meetings, conferences, and school-wide events (e.g. K-12 picture day, all staff back-to-school orientation, etc.), leadership retreats, Board retreats, etc.
- Manage event logistics, such as venue selection, catering, travel, accommodations, supply needs, guest speaker/vendor needs, logistics, invoices, etc. ensuring a seamless execution of events.
- Prepare and distribute event materials, including invitations, itineraries, and follow-up communications.
- Manage on-site event logistics; serve as point of contact; and troubleshoot any challenges that may arise to ensure the event runs smoothly
Communication and Relationship Management:
- Foster positive relationships with internal and external stakeholders, acting as a liaison between the executive team and other departments.
- Communicate effectively on behalf of the executives, ensuring clear and consistent messaging across all platforms.
- Handle sensitive and confidential information with discretion and integrity.
- Manage school website and collaborate with school leaders, public relations lead, department directors and administrative assistants to ensure all aspects of the school website are up to date and reflect current events of the school.
Professional Learning Support & Coordination:
- Continue to learn and keep up to date on current admin assistant duties and practices.
- Identify and coordinate professional learning for aligned best practices of admin assistants/front facing employees across the system including but not limited to project management, customer service and new technologies.

General Qualifications, Skills, Knowledge and Abilities:
- Bachelor's degree in Business Administration, Communications, or a related field preferred.
- Minimum of 5 years of experience as an Executive Administrative Assistant or in a similar high-level administrative role, preferably supporting C-suite executives.
