Admin - Clerical Provide full range of customer service focused reception and administrative assistance for the Rose Hill community, specifically supporting Human Resources.
- Serve as central reception for, and assure accurate routing of, all visitors and in-coming phone calls, deliveries, and mail for Rose Hill Center.
- Process incoming and outgoing faxes, mail, and packages in a timely fashion.
- Provide routine clerical support such as preparing correspondence and documents, filing, photocopying, monitoring, and maintaining office supply inventories.
- Maintaining overall cleanliness and organization of copy room, break area, and other common areas in the Visitor’s Center and facilitating cleaning needs with Rose Hill housekeeping staff or vendors as needed.
- Sort, log, stamp, and route incoming checks and funds in a timely fashion.
- Order office supplies and maintain inventory / control of office supplies.
- Maintain compliance of employee files, as directed by the Human Resources Manager in accordance with regulatory standards.
- Assist with payroll processing and ensure timely completion.
- Assist with maintaining HRIS performance management tools.
- Assist with flow of employment applicants and HRIS applicant tracking processes.
- Conduct pre-employment requirements and verifications.
- Assist with submission of accounts payable and approval of assigned vendors.
- Maintain current procedural manual covering essential job function.
- Maintain confidentiality of all corporate, client and staff information.
- Provide regular reports to supervisor.
- Follow and enforce all established quality, safety, and sanitation regulations.
- Complete special projects as assigned.
- Other duties as assigned.
- Associate’s degree in business or equivalent education and experience.
- Prior office experience with a focus in human resources preferred.
- Works cooperatively and interdependently with staff, residents, families, and other stakeholders to achieve desired outcomes.
- Demonstrates proficient use of various software programs relevant to essential functions and responsibilities.
- Accurately records and transcribes information.
- Demonstrate reasonable judgment, sound decision-making, and professional objectivity and applies principles of logical thinking to problem-solving.
- Demonstrates the ability to engage residents in a welcoming, hopeful, empathetic manner regardless of illness or phase of recovery and use principles of trauma informed care and a willingness to support and assist residents with trauma related issues.
