The Grant Development and Program Coordinator is responsible for identifying, developing, writing, coordinating, and administering federal, state, local, and private grant opportunities that support the District's strategic priorities. This position serves as the District's central point of contact for all grant activities from proposal development through grant closeout. The coordinator works collaboratively with district leadership, school administrators, finance staff, and external partners to secure funding, ensure grant compliance, oversee implementation of grant-funded initiatives, monitor budgets and expenditures, and ensure all grant deliverables are completed on time and within funding requirements.

Duties And Responsibilities
  • Grant Development & Administration
    • Research and identify grant opportunities aligned with District strategic goals and operational needs; maintain a District-wide grant calendar and database.
    • Collaborate with district and school leadership to identify funding priorities, coordinate grant planning, and develop competitive applications, including narratives, budgets, and supporting documentation.
    • Coordinate implementation of awarded grants, monitor timelines, deliverables, milestones, performance measures, and closeout requirements.
    • Maintain organized grant files and documentation to support compliance, reporting, monitoring, and audits.
  • Program & Budget Management
    • Coordinate implementation of grant-funded programs across departments and schools and facilitate communication among project stakeholders.
    • Monitor grant activities, outcomes, expenditures, and compliance with approved scopes of work and funding requirements.
    • Work closely with Finance to develop and monitor grant budgets, review expenditures for allowability, coordinate budget revisions, and ensure timely and appropriate use of funds.
    • Assist with purchasing, reimbursement requests, financial reporting, and resolution of implementation challenges.
  • Compliance, Reporting & Contracts
    • Ensure compliance with federal, state, and local grant requirements and coordinate required programmatic and financial reporting.
    • Monitor performance metrics, coordinate data collection, and maintain documentation for grant monitoring and audits.
    • Coordinate grant-funded contracts and services, monitor contractor performance and deliverables, and ensure compliance with grant requirements.
  • Collaboration & Communication
    • Serve as the primary liaison among District departments, schools, funding agencies, vendors, contractors, and community partners.
    • Provide technical assistance and communicate grant requirements, deadlines, expectations, and compliance responsibilities to District staff.
    • Present grant opportunities, funding updates, and project outcomes to district leadership and develop partnerships that support external funding opportunities.
    • Maintain current knowledge of grant regulations and best practices, develop internal grant management procedures, and participate in relevant professional development.
    • Assist with strategic planning related to external funding and perform other duties as assigned.
Experience

Minimum three years of progressively responsible experience in grant writing, grant administration, project management, or public sector administration. Experience preparing successful competitive grant applications preferred. Experience in a school district, local government, higher education, or nonprofit organization preferred. Experience with federal and state grant administration strongly preferred.

Knowledge, Experience And Other Qualifications
