Construction Coordinator Job Description

Top Notch is looking for a Construction Coordinator to join our team. The primary role is to support the Operations Officer in producing jobs, data analysis, and training program management. The position may require working outside, lifting up to 60 lbs, driving to job sites, and a commitment to completing work for clients and employees. The company is employee-owned, and we seek applicants who want to stay long-term and advance within the organization.

  • Overseeing active jobs (assisting COO/PM)
  • Maintaining understanding of team projects and workload
  • Developing staff understanding of ESOP
  • Safety incident reporting as necessary
  • Moderating employee interaction and exemplifying company values/culture
  • Tracking crew attendance and training day time
  • Develop, Manage, & Schedule Training Programs
  • Supporting personnel to meet company labor requirements and promote development
  • Assessing production issues and creating additional training as needed
  • Tracking employee training status and evaluating work
  • Developing comprehensive training materials (manuals, outlines, visual aids)
  • Evaluating and updating training materials; creating new SOPs as needed
  • Educating self on teaching techniques and seeking feedback to improve training
  • Scheduling training sessions and ensuring resources are available
  • Archiving training records
  • Translating job requirements into trainings for career progression
  • Evaluating training effectiveness through assessments and feedback
  • Support Sales Division
  • Determining production factors affecting service/product costs
  • Purchasing materials
  • Developing and maintaining relationships with vendors and contractors
  • Managing bids from vendors and contractors
  • Compiling and delivering job records to the office
  • Purchasing vehicle passes and scheduling sanitation/waste removal on active jobs
  • Conducting on-site checks to ensure bids are met
  • Using bid vs. actual cost data to prepare job analyses
  • Controlling costs and supporting crew leads to keep bid jobs on or under hours
  • Invoicing and client billing as needed
  • Data Analysis & Office Processes
  • Analyzing data to improve output
  • Calculating job conversion rates and sales analysis
  • Maintaining action items and division metrics
  • Answering calls, emails, and voicemails daily
  • Discussing operations with management to stay updated on activities
  • Delivering paperwork to finance
  • Planning and budgeting for projects
  • Assisting management in improving processes
  • Monitoring operational costs to maintain or increase margins
  • Improving operational procedures for efficiency
  • Maintaining and analyzing operational data
  • Ensuring adherence to procedures and policies
  • Developing and implementing company policies
  • Developing policies and procedures to improve efficiency without compromising safety or quality
  • Researching innovative products and processes
  • Purchasing supplies needed for training
  • Reporting to and supporting the COO as needed
  • Navigating reprimands and dismissals with COO involvement
  • Assisting management in improving production processes
  • Employee Management
  • Supporting personnel and HR functions to meet labor requirements and promote development
  • Mentorship and moderating employee interaction
  • Managing HR responsibilities including training, benefits, HR administration and data collection
  • Employee benefit review, implementation, and maintenance
  • Compliance with employment laws and regulations
  • Client Interfacing
  • Interacting with clients to ensure satisfaction
  • Maintaining consistent communication with clients on job status
  • Fostering relationships among clients, suppliers, and vendors

Qualifications
  • 2-5 years of experience in similar roles and an Associate’s Degree in Business Management or equivalent
  • Thorough knowledge of log and timber construction and building codes
  • Proficient in Microsoft Excel, Word, and Outlook
  • Ability to read complex plans and build from plans
  • Strong math skills
  • Some knowledge of ESOP management
