Responsibilities

The Patient Access Lead oversees the day‑to‑day operations and flow of the registration department. They are responsible for scheduling, ensuring all points of entry in the hospital and ancillary areas are adequately staffed, training new registrars, signing off competencies, and serving as a resource for all Employee Access staff.

  • Welcome and greet all patients and visitors, in person or over the phone.
  • Maintain a polite, consistent phone manner using proper telephone etiquette and direct calls to the appropriate department or staff.
  • Serve as the "Keeper of the Gates," ensuring all visitors are greeted, asked to sign in on a Visitors Log, and assisted with their needs.
  • Compile and complete medical charts, reports, and correspondence as needed.
  • Interview patients to complete insurance and privacy forms.
  • Complete Medicare inpatient paperwork for inpatient Medicare patients.
  • Complete admission packets for swing patients.
  • Collect insurance co‑pay payments and post amounts paid to patient accounts.
  • Register new patients and update existing patient demographics with detailed personal and financial information.
  • Make self‑pay collection calls on open balances; train staff on collection techniques.
  • Communicate with patients, clinical staff, or other hospital employees regarding delays or other situations.
  • Respond to inquiries from patients, prospective patients, and visitors courteously while maintaining HIPAA guidelines.
  • Maintain the waiting area to present a clean and organized space.
  • Keep the front registration desk and waiting room supplies adequately stocked, anticipate inventory needs, place orders, and monitor office equipment.
  • Protect patient confidentiality by ensuring protected health information is secured and logging off the computer before leaving it unattended.
  • Perform all other duties as assigned.
  • Work sedentary, with prolonged periods of sitting and exerting up to 10 pounds of force.
Qualifications
  • High school diploma or GED equivalent.
  • Associate degree in Business Administration, Healthcare Administration, or related field preferred.
  • One (1) year of experience in front desk, clerical, scheduling, and customer service in a hospital or medical office environment preferred.
  • Advanced knowledge of electronic medical records.
  • Supervisory experience required.
  • Working knowledge of basic office equipment and office computer programs.
  • Excellent communication, verbal and written skills.
  • Excellent organizational skills.
  • Excellent customer service and interpersonal skills.
