Marketing Proposal Coordinator

Robert Half Marketing and creative has a client in the A/E/C space looking for a Marketing Proposal Coordinator to join a services team. This contract-to-permanent opportunity is ideal for an experienced marketing specialist who can balance competing deadlines, coordinate complex proposal efforts, and produce accurate, compelling submission materials. The role works closely with technical contributors and business partners to develop responses that are well-organized, visually effective, and aligned with solicitation requirements.

Responsibilities:

- Coordinate the full proposal development process from kickoff through final submission, ensuring timelines, deliverables, and review cycles stay on track.

- Draft, refine, and format proposal content so documents are clear, persuasive, and tailored to client requirements.

- Review solicitations in detail to identify compliance needs, submission instructions, and response expectations.

- Partner with project managers, technical staff, and leadership to gather input and transform subject matter expertise into client-ready materials.

- Perform thorough editing, proofreading, and quality checks to maintain consistency, accuracy, branding, and overall document quality.

- Produce high-quality proposal packages using Microsoft Word, Adobe InDesign, and related tools to support strong presentation standards.

- Manage multiple active pursuits at once while adjusting priorities quickly in a deadline-driven environment.

- Support visual communication efforts by incorporating layout, formatting, and design elements that strengthen readability and brand alignment.

Requirements - At least 3 years of experience in marketing, proposal coordination, or a similar role within a fast-paced, accuracy-focused setting.

- Demonstrated ability to develop proposal responses, written content, and final submission documents with a high degree of accuracy.

- Strong writing, editing, proofreading, and document review skills.

- Proven ability to interpret detailed solicitation instructions and produce compliant response materials.

- Advanced proficiency with Microsoft 365, especially Word, Outlook, and Teams.

- Hands-on experience with Adobe InDesign; familiarity with additional Adobe Creative Cloud applications is beneficial.

- Excellent organizational skills with the ability to manage deadlines, shifting priorities, and multiple concurrent projects.

- Background in the Architecture, Engineering, and Construction industry, along with experience using SharePoint, Smartsheet, or Templafy, is preferred. Innovation starts with people.®
