Breaking Barriers Institute (BBI) is seeking a reliable, organized, and professional Part‑Time Office Administrator to join our growing team. This position plays a vital role in supporting daily office operations, staff coordination, client services, and administrative functions. The ideal candidate is detail‑oriented, able to multitask in a fast‑paced environment, and committed to providing excellent customer service to families and employees.
Responsibilities- Answer and direct incoming phone calls, emails, and office inquiries.
- Assist with client intake processes and maintain accurate records.
- Support scheduling needs for therapy services, meetings, and office activities.
- Monitor and respond to administrative requests from staff and families.
- Maintain electronic and physical files while ensuring confidentiality.
- Assist with onboarding documentation and employee paperwork.
- Track compliance documents, certifications, and training requirements.
- Prepare reports, spreadsheets, and other administrative documents.
- Support billing, authorization tracking, and data entry as assigned.
- Maintain office organization, supplies, and general administrative support.
- Collaborate with management to ensure smooth day‑to‑day operations.
- High school diploma required;
Associate’s or Bachelor’s degree preferred. - Minimum 1 year of administrative, office, customer service, or clerical experience.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Ability to handle confidential information professionally.
- Strong attention to detail and ability to work independently.
- Experience in healthcare, behavioral health, ABA, or medical office settings is preferred but not required.
- Positive attitude and strong problem‑solving skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Team‑oriented with a willingness to assist across departments.
- Comfortable learning new software systems and processes.
