Responsibilities
  • Provide administrative support within a department and act as principal assistant to leadership roles.
  • Prepare and review reports and documents, attend meetings and take minutes, oversee office management systems, and screen and direct calls.
  • Manage time and calendars of administrators, including travel and project timelines, and prioritize competing demands.
  • Integrate best practices to enhance efficiency and effectiveness of service delivery.
  • Maintain relationships and collaborate with various divisions of the university.
  • Develop and establish procedures and schedules to meet operational needs of the department.
  • Maintain required records and reports of activities.
  • Share information, policies, and operational procedures with faculty, staff, students, parents, and visitors.
  • Interact with external and internal individuals.
  • Prepare various administrative reports.
  • Coordinate and oversee highly confidential matters pertaining to the department.
  • Direct and coordinate maintenance of departmental accounts.
  • Prepare data for operating budgets and for financial reports.
  • Prepare analyses and allocate expenses.
  • Coordinate expenditures and property controls.
  • Initiate or authorize orders for space, equipment, supplies, and services.
  • Function as liaison to leadership, administrators, faculty, staff, students, and visitors on behalf of the department and/or university.
  • Establish and build positive working relationships with external agencies and organizations.
  • Arrange accommodations, plan, and coordinate activities, and serve as a representative during external visits.
  • Coordinate use of conference and meeting rooms for internal and external users.
  • Maintain calendars for room use and events.
  • Coordinate and make arrangements for special events, seminars, workshops, and activities.
  • Coordinate and develop informational materials, presentations, and communications of departmental publications.
  • Supervise up to two other support staff.
  • Prioritize and assign work, ensuring staff is trained.
  • Conduct performance evaluations.
  • Perform other duties as assigned.
Minimum Education & Experience
  • Associate's degree and 3 years of progressively responsible experience in administrative support required, or an equivalent combination of education and experience.
Knowledge, Skills, and Abilities
  • Proficiency with Microsoft Suite, File Maker Pro, virtual collaboration tools (Zoom, Box), Adobe, etc. required.
  • Knowledge of office procedures, database entry principles, customer service and public relations principles, principles of math, mailing and distribution methods, training principles, leadership principles, intermediate to advanced budget administration principles, inventory and supply maintenance principles, event planning required.
  • Excellent verbal and written communication skills with people across diverse backgrounds and cultures.
  • Intermediate knowledge of hardware and software functionality preferred.
