Office Administrator/ Coordinator
Helping to create exceptional employee and visitor experience while maintaining operational excellence and regulatory compliance, this job is responsible for ensuring the efficient, safe, secure, and seamless operation of the North American workplace environment. The successful candidate will balance responsibilities across facilities operations, physical security, and office management while also providing EHS program support when needed. The role supports a portfolio of North American office locations through vendor coordination, stakeholder partnership, operational oversight, and delivery of consistent workplace standards.
The ideal candidate is a service-oriented self-starter who demonstrates initiative, sound judgment, and the ability to operate effectively with minimal supervision.
- Coordinate vendors and other facility services across assigned locations.
- facility work orders and support timely resolution of workplace issues.
- Coordinate physical security operations, including badge administration, access requests, and visitor management.
- Coordinate meetings, events, catering, and employee engagement activities
- Maintain a workplace environment that is organized, fully operational, and reflective of company standards and employee expectations.
- Bachelor's degree in Facilities Management, Criminal Justice, Hospitality Management, Business, or a related field, or equivalent professional experience.
- Demonstrated adaptability, initiative, sound judgment, and the ability to work independently in a fast-paced environment.
- Strong attention to detail and commitment to operational excellence.
- Strong customer experience mindset.
- Excellent organizational, time management, and prioritization skills.
- Effective verbal and written communication skills.
- Experience coordinating vendors, events, projects, or operational activities preferred.
- Proficiency with Microsoft 365 applications (Outlook, Excel, PowerPoint, and Teams).
- Smartsheet experience preferred.
- US Citizenship or permanent residency required
The total compensation for this position is $60-85K. Total compensation includes base salary, variable pay (when applicable) plus benefits. The range is determined by the position, geographic location and level. Individual pay within the range is determined by several factors including location, education or training, relevant work history, sales incentive structure and job-related skills.
