Administrative Assistant
Emery Sapp & Sons (ESS) is seeking a detail-oriented and organized Administrative Assistant to support the daily operations of our Health & Safety Department. This role serves as a key administrative resource, responsible for maintaining records, supporting compliance initiatives, coordinating training documentation, and assisting the Health & Safety team with a variety of administrative and operational functions. The ideal candidate is highly organized, able to manage confidential information with discretion, and committed to support ESS's safety-always culture.
Essential Duties & Responsibilities:
- Provide administrative support to the Health & Safety Department, including document management, data entry, report preparation, and recordkeeping.
- Administer Personal Protective Equipment program
- Develop a working knowledge of ESS Health & Safety standards, programs, policies, and procedures through departmental training and ongoing education.
- Assist Health & Safety leadership and staff with surveys, evaluations, audits, inspections, and other departmental activities.
- Gather, organize, and maintain data used to monitor Health & Safety metrics, compliance requirements, and departmental goals.
- Coordinate training records, certifications, and documentation to ensure accurate and current employee files.
- Adhere to and actively support ESS Health & Safety policies and practices.
- Prepare reports, spreadsheets, presentations, and correspondence as needed.
- Monitor departmental inboxes and respond to inquiries in a professional and timely manner.
- Maintain both electronic and physical filing systems while ensuring confidentiality of sensitive information.
- Order and maintain office supplies and departmental materials.
- Other duties as assigned
Qualifications:
- High school diploma or equivalent required.
- Minimum 5 years of administrative, office support, or related experience
- Ability to communicate effectively, confidentially and professionally with management, coworkers, clients, vendors, contractors, and visitors.
- Ability to attend to detail and work in a time-conscious and time-effective manner.
