Position Summary

Under general supervision, provides excellent customer service and administrative support for the assigned District-level department. Accurately maintains relevant student data, prepares reports and documents, and supports both school operations and departmental processes. Demonstrates strong communication skills, a positive attitude, and the ability to multitask effectively in a fast-paced environment that serves a diverse public with varied needs.

Minimum Requirements Education

High School Diploma or equivalent required. Associate's Degree in secretarial science or business preferred.

Certification/License

Must possess a valid South Carolina driver's license or government issued picture .

Work Experience

Two (2) or more years of responsible secretarial and/or clerical support experience; previous relevant work experience in a customer service role preferred; or any equivalent education, training, and certification requirements that provide the required knowledge, skills, and abilities.

Knowledge, Skills, and Abilities
  • Excellent communication and interpersonal skills. Ability to maintain a professional and courteous demeanor under pressure in difficult situations.
  • Knowledge of the principles of office management and of modern office procedures, systems, and equipment.
  • Knowledge of state and federal laws, South Carolina Department of Education compliance procedures, Board policies, and District procedures applicable to the position.
  • Knowledge of District and school safety and security procedures.
  • Proficient knowledge and use of computer applications relevant to the position, including but not limited to Student Information Systems (SIS), virtual platforms, technical computer applications, current District software, federal reporting software, and other data tracking systems.
  • Demonstrated ability to analyze, compare and interpret data; format into reports; and make judgments based upon this knowledge.
  • Proficient skills in business English, writing, editing, and preparing correspondence, presentations, and other documents. Ability to effectively communicate with parents, school, and District staff in oral and written form.
  • Ability to anticipate work to be completed and initiate proper and acceptable direction for the completion of work with little to no supervision and instruction.
  • Ability to apply judgment and complex logic in defining problems, collecting information, and drawing valid conclusions.
  • Ability to maintain high standards of organization, accuracy, and timeliness in exercising duties.
  • Ability to manage frequent interruptions in a flexible manner and difficult, stressful situations in a professional and appropriate fashion.
  • Ability to work independently and as a productive member of a team.
  • Ability to thrive in a fast-paced, continually changing work environment.
Essential Duties
  • Provides clerical and administrative support to the assigned department. Assists with departmental processes that may include but are not limited to processing, scanning, and distributing student records; preparing documents and/or correspondence; compiling and summarizing data for District, state, and federal reports; ensuring accuracy and timeliness of data entry into the District Student Information System (SIS) and other reports; etc.
  • Maintains electronic and paper filing systems, ensuring records are accurate, updated, and in compliance with legal requirements. Assists with administrative tasks such as data entry, photocopying, and filing documents.
  • Answers and directs incoming phone calls in a professional manner. Takes messages when necessary and delivers them in a timely manner to appropriate staff. Manages departmental email and responds to inquiries on behalf of the department. Provides excellent customer services in response to all complaints and inquiries or refers them to the appropriate persons.
  • Serves as a back-up to provide assistance and/or coverage for other office staff, as assigned by the supervisor.
