Job Summary
The Office Manager is responsible for overseeing facility operations, ensuring compliance with licensing requirements, CARF guidelines, and organizational standards. The role involves staff scheduling, timekeeping, front‑desk reporting, administrative support, and coordination of building maintenance and special projects.
Responsibilities- Maintain facility operations to meet organizational standards, licensure requirements, and CARF guidelines.
- Oversee staff scheduling and ensure adherence to labor laws and accurate timekeeping.
- Manage the BHSN application process and front‑desk reporting, including documentation collection and payer verification.
- Provide administrative support: reception, records management, filing, data entry, purchase requisitions, and information processing as directed by the Area Manager.
- Adjust schedule flexibly to cover staffing outages, clinic operations, and office management duties.
- Coordinate special projects and building maintenance (space planning, smoking areas, parking).
- Attend agency and staff meetings and disseminate information from the Area Manager.
- Review and complete purchase requisition forms, ensuring proper coding and approval.
- Assure quantitative compliance of medical records per QI/UM standards.
- Monitor non‑clinical purchases to maintain office supplies and make sound purchasing decisions.
- Submit monthly reports by assigned deadlines.
- Ensure switchboard is answered by 7:00a.m. and all daily activities are logged as complete before closing each day.
- Verify that all facility licensure requirements and Site Evaluation Tool criteria are met.
- Bachelor’s degree or demonstrated progress toward a bachelor’s degree from an accredited college or university; alternatively, four years of relevant experience.
- Strong typing and data entry skills, with excellent command of English grammar, spelling, and proofreading abilities.
- Ability to stand 10% of the time, sit 90%, and perform occasional bending, kneeling, squatting, driving, and lifting.

Full‑time position; pay range: $16.50–$23.10 per hour.
