Nature of Work

This is very responsible administrative, legal and accounting work assisting with the maintenance of records, legal documents and financial activities for Chancery Court. Responsibilities include assisting in the various duties performed in the office including compiling and keeping minutes of the court, completing daily deposits and rule entries, filing pleadings in lawsuits, providing information to the public regarding the status of their legal proceedings and assisting with the operations of Chancery Court.

Additional activities include preparing case files, collecting child support payments and arrearages, and entering court orders into the minute book and processing. Incumbents are expected to perform a variety of interrelated duties for the Clerk & Masters office depending upon staffing levels and workload demands. Job responsibilities require a great deal of accuracy due to the complexity and detailed nature of the information utilized on the job, considerable knowledge of the functions and operations of Chancery Court and strong interpersonal, organizational and decision making skills.

Job performance is reviewed by the Clerk and Master through review of the accuracy and thoroughness of completed work, knowledge of assigned duties and responsibilities and the overall functioning and efficiency of the Clerk and Masters’ office. Job activities are also subject to state audit.

Illustrative Examples of Work
  • -Compiles, maintains and updates all minutes of Chancery Court, places them in chronological order, cross references and completes according to the directions in the orders.
  • -Assists the public and attorneys with research, record checks, filing of documents and providing general information.
  • -Communicates with the Chancery Court Judge and attorneys pertaining to legal documents and scheduling of hearings.
  • -Certifies copies of Chancery Court Orders for anyone needing to use them in legal matters.
  • -Issues appropriate process as necessary for case files.
  • -Issues subpoenas, summons and attachments and prepares mittimus when necessary.
  • -Files new Chancery Court cases upon receipt, enters them into the computer, creates a file folder and civil cover sheet and writes a receipt.
  • -Files pleadings on existing cases including interrogatories, motions, responses, etc. and adds the cost in the execution dockets.
  • -Assists with issuing passports for individuals through the U.S. Passport program and ensures the accurate receipt and deposit of all fees.
  • -Utilizes the Nex Gen document management system on a daily basis including the scanning of documents into individual folders designated by docket numbers and indexed by multiple methods for easy access by all users.
  • -Receives and receipts child support payments and assists with mailing checks for payments received in the office.
  • -Runs pay histories and copies files for local and out of state Child Support Enforcement Officers.
  • -Puts away all the files if they’re taken out and reviewed for any reason.
  • -Receipts and distributes court cost payments and enters into the general ledger under the appropriate account.
  • -Prepares and transmits records to the Court of Appeals including the index, copy of the file and the Bill of Costs.
  • -Issues summons, alias summons, orders, etc. on child support cases upon receipt from Child Support Enforcement.
  • -Prepares and mails notices or docket letters for all of the cases that are on the docket for court to all attorneys and pro se litigants that are involved in the case.
  • -Makes copies of court dockets and assists with the docket soundings twice a year.
  • -Prepares deed descriptions and assists with sending out land sell notices including all required public notices and advertisements.
  • -Interacts with the District Attorney’s office on issues pertaining to child support and law enforcement agencies on issues pertaining to orders of protection.
  • -Prepares the TJIS monthly report and completes the quarterly TJIS upon receipt from the State of Tennessee.
