Part-Time Office Manager (Private Family Office)

Schedule:

2–3 days per week (flexible) Overview

We are seeking a highly organized, discreet, and proactive Office Manager to support the day-to-day operations of a private family office. This role is ideal for someone who thrives in a dynamic, detail-oriented environment and can manage a wide range of administrative responsibilities with professionalism and confidentiality.

Key Responsibilities
  • Oversee general office operations and ensure smooth day-to-day functioning
  • Manage calendars, appointments, and scheduling for family office activities
  • Coordinate meetings, prepare materials, and track follow-ups
  • Handle correspondence, including email management, phone calls, and mail
  • Maintain organized filing systems (digital and physical)
  • Liaise with vendors, service providers, and external partners
  • Assist with expense tracking, and basic bookkeeping coordination
  • Support travel planning and logistics as needed
  • Help manage household-related administrative tasks (as applicable)
  • Maintain office supplies and handle purchasing/ordering
  • Assist with special projects and ad hoc requests
Qualifications
  • Prior experience in an administrative, office management, or executive assistant role
  • Strong organizational and time management skills
  • High level of discretion and ability to handle confidential information
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office, Google Workspace, and/or similar tools
  • Ability to multitask and prioritize effectively in a flexible environment
  • Self-starter with strong attention to detail
Preferred Qualifications
  • Experience working in a private family office, small business, or supporting high-net-worth individuals
  • Basic bookkeeping or financial coordination experience
  • Familiarity with property or household management tasks
Compensation
  • Competitive hourly rate or part-time salary, commensurate with experience
  • Flexible schedule within 2–3 days per week
