Part-Time Office Manager (Private Family Office)

2–3 days per week (flexible) Overview
We are seeking a highly organized, discreet, and proactive Office Manager to support the day-to-day operations of a private family office. This role is ideal for someone who thrives in a dynamic, detail-oriented environment and can manage a wide range of administrative responsibilities with professionalism and confidentiality.
Key Responsibilities- Oversee general office operations and ensure smooth day-to-day functioning
- Manage calendars, appointments, and scheduling for family office activities
- Coordinate meetings, prepare materials, and track follow-ups
- Handle correspondence, including email management, phone calls, and mail
- Maintain organized filing systems (digital and physical)
- Liaise with vendors, service providers, and external partners
- Assist with expense tracking, and basic bookkeeping coordination
- Support travel planning and logistics as needed
- Help manage household-related administrative tasks (as applicable)
- Maintain office supplies and handle purchasing/ordering
- Assist with special projects and ad hoc requests
- Prior experience in an administrative, office management, or executive assistant role
- Strong organizational and time management skills
- High level of discretion and ability to handle confidential information
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, Google Workspace, and/or similar tools
- Ability to multitask and prioritize effectively in a flexible environment
- Self-starter with strong attention to detail
- Experience working in a private family office, small business, or supporting high-net-worth individuals
- Basic bookkeeping or financial coordination experience
- Familiarity with property or household management tasks
- Competitive hourly rate or part-time salary, commensurate with experience
- Flexible schedule within 2–3 days per week
- Potential for role expansion based on needs and performance
