Daikin Applied is seeking a Service Coordinator for its Columbus, GA office. The role involves scheduling, dispatching, and administrative support for field technicians.

Location:

Columbus, GA - In-Office

Responsibilities
  • Work with Operations Supervisor, Service Center Manager, or District Manager in scheduling and dispatching of technicians for jobs (startups/repairs, warranty, maintenance)
  • Handle customer inquiries and route questions of technical nature to the appropriate resource
  • Coordinate job startups and maintain communication with the customer regarding scheduling for the startup and follow up on jobs in progress/completed
  • Invoice and bill customers
  • Assist in performing local office AP/AR functions and follow up with customer to ensure that payment has been received
  • Coordinate warranty administration process, parts orders, and track shipments
  • Answer telephones and greet customers while maintaining professional and courteous customer contact
  • Enter all information and maintain information into Enterprise Resource System including work orders, new customer information, and technician hours for billing purposes
  • Ensure timely close-out on all work orders and that all associated paperwork is received and filed with the proper job
  • Provide initial notification of Workers Compensation claims to insurance carrier
  • Assist with data entry and maintaining the integrity of the local office database including forecast reports, opportunity reports, opportunity reassignments, maintenance, etc.
  • Assist with the securing, booking, and release for fabrication process
  • Assist in completing change order proposals and booking the related change orders within the order management system, including updating office file as required
  • Assist in the preparation of customer proposals, PowerPoint presentations, letters, spreadsheets, issuance of bid bonds, certificates of Insurance, payment/performance bonds, pre-qualification questionnaires and order legal paperwork and forms to aid in finalization of contract award
  • Assist in updating and scheduling service labor, material, and subcontract labor for the purpose of projecting planned project costs
  • Assist in managing the contract closeout process to ensure the timely closure of projects
  • Coordinate the installation transfer, warranty letter, and customer contact/survey process as required
  • Process subcontracts and subcontractor invoices including subcontractor documentation
  • Coordinate Daikin Applied invoice processes, subcontractor requirements (such as: certificates of insurance, bonding, lien waivers, etc.) and materials to meet revenue plan
  • Generate subcontracts, safety documents, and may release payments to subcontractors or associated invoices with A/R invoices under guidance from the sales leadership team
  • Identify and set up procurement agreements for subcontractors or approved vendors and assist in completing simple project billing schedules in the appropriate format within specified time frames
  • Complete requests for information, transmittal letters, customer warm-up letters, project organizational charts, certified payroll, owner directed insurance, etc.
Qualifications
  • High School Diploma or GED
  • 2-4+ years of related experience in a mechanical, electrical, or plumbing service field
  • Bachelor’s degree may be considered in lieu of work experience
  • Experience in dispatching technicians (Preferred)
  • Experience with Astea and/or any other service tracking software (Preferred)
  • Proficient knowledge of Microsoft Office Suite

The typical hourly pay range for this position is $23.65 to $37.69 in Georgia. Compensation varies based on experience, qualifications, and location.
