Job SummaryPerforms a variety of clerical and office duties under moderate/close supervision.
Duties and Responsibilities- Able to efficiently answer multi-line telephone system and transfer/forward calls appropriately
- Submits information, reports, and forms to other agencies or offices (city, county, state, and federal) as required
- Receives mail requests for information or copies of same and forwards such information to the person requesting them
- Ability to receive, record, and distribute various amounts of money into various accounts or offices and be accountable for same
- Manages the meal count forms and conducts audit to ensure proper payment to kitchen vendor; manages mail censor programs and external requests for records;
Enters, processes, and collates all invoices and requests for payments for the Detention Division - Responsible for collecting monies from outside sources and on-site ATM machine; processes financial requests and add/deducts/pay-out money transfers to inmate accounts using appropriate software; counts, balances and creates deposit slips for all monies taken
- Able to efficiently and appropriately type/enter information i.e., reports, letters, complete forms, general information into a computerized system and retrieve same when necessary
- Is responsible for directing incoming mail to the proper person
- Able to exhibit good judgment and discretion and adhere to guidelines when processing sensitive and/or confidential information
- Acquires and maintains learning and training in order to satisfactorily perform assigned tasks
- Must be at least 18 years of age
- Must have no felony convictions
- High school diploma or GED equivalent
- Must successfully pass a strict, thorough background investigation
- Previous experience in finance, accounting, bookkeeping or cash-handling is preferred but not required
- Prior administrative, clerical, government, law enforcement, corrections, or detention facility experience is desirable
- Knowledge of standard office procedures and filing practices. Should be able to type accurately and with speed, perform simple clerical tasks and follow written and oral instructions
- Able to proficiently use a computer with Windows applications and spreadsheet applications. Also, miscellaneous office equipment such as copier, fax, and calculator
- Knowledge of the Catoosa County Sheriff’s Office rules and regulations
- Ability to communicate effectively in the English language, both orally and in writing. These abilities are frequently required to develop clear and comprehensive reports and to obtain information. This includes the ability to read and comprehend instructions, agency correspondence, policies, and procedures, and evidentiary documents; to apply common sense understanding to carry out instructions
- Able to work efficiently and complete tasks and projects with frequent unscheduled interruptions
- Ability to deal professionally and fairly in interactions with the general public; to effectively communicate with the public; and to establish and maintain effective working relationships with coworkers, other county departments and employees, as well as, with county officials
This position is located within a secure detention facility and requires working in and around incarcerated inmate populations. Employees must adhere to all security protocols, safety procedures, and detention facility regulations while performing assigned duties.
