The Opportunity:
The Administrative Assistant is responsible for supporting the daily operations of the school’s reception area, presenting a high-achievement culture to all students, visitors and parents. The Administrative Assistant ensures that students uphold school standards while completing administrative tasks at the front desk. Responsibilities include answering phones, sorting mail, filing, faxing, creating and maintaining databases, and performing general administrative duties as needed.
Duties and Responsibilities:- Answer general inquiries, direct and screen phone calls
- Greet parents and visitors and direct them to the appropriate location
- Create and maintain databases such as Excel and the School Computer Network for student records and school equipment inventory
- Place orders for departments and track order process for the individual school
- Manage office supplies for the front office
- Oversee mailing and shipping delivery systems
- Maintain conference-room calendar and schedule meetings as needed
- Aid in student enrollment process by completing paperwork and following up with phone calls
- Open and close the school front reception facility
- Communicate high expectations for academic achievement and appropriate behavior to students
- Maintain a positive and welcoming environment for parents, visitors, coworkers and students
- Perform general administrative duties as assigned
- Ability to relate to a diverse population of students and parents
- Advanced proficiency in computer skills, specifically Microsoft Office:
Outlook, Word, Excel and PowerPoint, with ability to learn new programs/software quickly - Proven experience multitasking, organizing and prioritizing work
- Ability to handle requests and inquiries and respond in a timely manner
- High attention to detail
- Perform duties with a high degree of professionalism and positive energy
- Spanish & English fluency required
- Three to five years of administrative assistant experience is preferred
- This role is eligible for a $500 signing bonus
- New administrative assistants start at $18.51 per hour, with Mastery offering up to $22.63 based on experience and education. Hourly rates range from $18.51 to $28.85, with growth opportunities as your career progresses.
- This is a part-time role: 29 hours per week, Monday-Friday
