Student Services Coordinator – Job
Columbus State University – Full Time – Regular

Job Summary
The Student Services Coordinator reports to the Student Success Manager of Continuing & Professional Education (CPE) and is responsible for coordinating and delivering student services across CPE. The role involves providing operational and administrative support for the facility; overseeing front desk services; maintaining accurate student and program records; supporting the delivery of all courses; identifying revenue‑generating service opportunities; promoting services; supporting recruitment;

and improving student service processes and procedures. Flexible hours including evenings and weekends may be required.

Client and Student Services
  • Serve as primary administrative support for all front‑line services (e.g., greeting visitors, answering phones, managing mail, scheduling appointments, maintaining the reception area, providing a welcoming and efficient office environment).
  • Provide exemplary customer service to students, staff, instructors, and external partners across all CPE divisions.
  • Support supervisor in identifying, implementing, and improving student services processes and procedures.
  • Assist with student advising; support online and in‑person courses; provide accurate guidance on military enrollment and funding processes; assist with testing procedures, including scheduling and proctoring when applicable.
  • Facilitate collaboration with CSU staff, faculty, and external partners regarding CPE student services and opportunities.
  • Provide administrative support for CPE programmatic initiatives, events and special projects, such as data collection, reporting and documentation in compliance with CSU policies and procedures.
Operations & Facilities
  • Support the selection, training, and mentorship of student assistants.
  • Create and maintain the facility schedule, with oversight from supervisor, ensuring staffing aligns with the pre‑determined budget.
  • Maintain responsibility for the opening and closing of the facility and on‑site management for events/classes.
  • Perform routine facility inspections to identify preventative maintenance needs.
  • Submit and track facilities maintenance requests in CSU systems, following up as needed to ensure timely completion.
  • Serve as primary contact and on‑site support for in‑house event services.
  • Assist with the organization and scheduling of event services, conferences, and classes.
Information Management
  • Enter, amend, and extract pertinent information from online registration software to support programmatic, marketing, and operational efforts.
  • Regularly review and update databases, SOPs, and website content to ensure accuracy and relevance.
  • Receive, track, and process all student requests in a timely manner.
  • Maintain accurate student attendance, transcript, evaluation, and certificate records for all CPE programs; ensure timely data input.
  • Ensure accurate payment processing and compliance with all applicable policies and procedures.
  • Compile and distribute up‑to‑date emergency preparedness plans to ensure facility/staff readiness and policy compliance.

Required Qualifications
A bachelor's degree and 3–5 years in an education setting, preferably higher education, or a comparable combination of education and experience. The candidate should be proficient in MS Office products; able to use systems and equipment in a higher education setting; work independently; maintain confidentiality; complete tasks accurately and efficiently; possess strong organizational skills; provide excellent customer service; and communicate well with students, faculty, administrators, and the general public.

Strong customer service skills; excellent communication and interpersonal skills; proficiency with MS Office and web navigation; ability to learn new software; excellent organizational skills with strong attention to detail; discretion with confidential information; independent judgment and initiative; problem‑solving skills; accountability; openness to constructive feedback; mentorship of student assistants; operation of technical and audio‑visual equipment.
