Responsibilities
  • Organize flow of work by reviewing correspondence and determining importance before distributing to executives or redirecting to the appropriate management team; answer questions and provide information to keep executive’s time free of minor detail work.
  • Prepare a variety of complex, sensitive, or routine correspondence on own initiative from drafts or verbal instruction, such as memos, letters, articles, reports, proposals, charts, etc.; prepare and process routine forms, documents, requisitions, purchase orders, transmittal forms, etc., following standard procedures, and respond to inquiries.
  • Serve as liaison between executives, managers, and visitors as required; review requests and schedule appointments; resolve problems requiring in-depth knowledge of company policies and procedures and projects in progress; receive, screen, and route incoming telephone calls, place calls, receive visitors, arrange appointments, and maintain the executive calendar; coordinate travel arrangements and schedule meetings, prepare agendas and materials for presentations, and take and prepare meeting minutes.
  • Maintain inventory levels of office supplies and initiate purchase orders as necessary; reconcile invoices and maintain current expense and balance records against budgeted dollars; provide administrative assistance to the management team by compiling data for and developing the department’s budget; submit travel and other expenses for payment or reimbursement.
  • Maintain effective and accurate filing systems that provide a quick reference database of records including, but not limited to, timesheets, statistical and financial reports that show the department’s accomplishments, productivity levels, operating cost, etc.; release information according to company policies and procedures; audit files at specific intervals to identify and purge outdated or unnecessary items, and ensure confidentiality of records.
  • Provide administrative support related to the operational functions of the department and assist with the training and development of subordinate secretaries and other administrative staff.
  • Support leadership team through coordinating divisional/departmental meetings and events as well as supporting company events including Employee Appreciation Week, holiday celebrations, etc.
  • Perform other duties as required.
Qualifications
  • High school diploma or equivalent.
  • Five years of administrative support experience, including two years supporting executive‑level management.
  • Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) designation (preferred).
  • Excellent oral, written, and interpersonal communication skills to interact effectively and exercise discretion, judgment, and diplomacy when dealing with internal and external customers, and senior and executive management.

Compensation & Benefits

Salary range: $50,000 – $75,000. Benefits include medical, dental, vision coverage, prescription drug coverage, health care flexible spending, dependent care flexible spending, Aflac supplemental policies (accident, cancer, critical illness, and hospital indemnity offered at no cost to employee), 401(k) plans, annual bonuses, and an opportunity to purchase company stock. Paid holidays: 11 per year; up to 20 days PTO; additional leaves as applicable.
