The CSU Administrative Assistant provided high-level administrative and operational support to the Chief Nursing Officer (CNO) and CSU Leadership team. This role ensures effective coordination of CSU operations, compliance with DBHDD and CARF standards, and seamless communication across nursing, clinical, and administrative staff. The position requires strong organizational skills, attention to detail and the ability to manage sensitive and confidential information.

Essential Duties and Responsibilities

Administrative Support to the CNO:
Manage the CNO's calendar, scheduling meetings, trainings, and CSU leadership sessions. Prepare correspondence, reports, meeting minutes, and presentations as directed by the CNO. Track deadlines for DBHDD, CARF, and internal audits, ensuring timely submission of reports. Maintain confidential files, records, and sensitive communications.

Unit Coordination:
Serve as the primary administrative liaison for CSU staff and leadership. Assist with staffing schedules, call-out documentation, timesheet corrections, and shift swap requests. Coordinate CSU orientation and ongoing training sign-in sheets, tracking staff compliance. Ensure distribution of CSU policies, procedures, and updates to staff. Assist in preparation and maintenance of CSU binders, training packets, and compliance documentation.

Compliance & Documentation:
Maintain accurate CSU logs (e.g., infection control, restraint/seclusion, fridge & water temperature logs, staff call-outs, incident reports). Support preparation of DBHDD and CARF audits, ensuring all required documentation is up to date. Assist with incident reporting, quality improvement tracking, and follow-up communications. Ensure CSU staff adherence to Middle Flint Health & Wellness standards and branding in all documentation.

Communication & Coordination:
Facilitate communication between the CNO, CSU staff, and executive leadership. Distribute meeting agendas and take minutes for CSU leadership, staff meetings, and trainings. Coordinate CSU events, staff education sessions, and in-service trainings. Serve as a point of contact for external partners, auditors, and staffing agencies when directed by the CNO.

Minimum Qualifications:

High School Diploma or equivalent required. Associate or Bachelor's degree in Business Administration, Healthcare Administration or related field preferred. Valid, unrestricted Georgia Driver's License. Current AHA CPR and First Aid Certification. Must be computer literate.

Preferred Qualifications:

2 + years of administrative experience, preferably in healthcare or behavioral health
