The Event & Cultural Affairs Coordinator is responsible for planning, coordinating, promoting, and evaluating cultural arts programming, educational initiatives, historic preservation activities, and special events at the Liberty Theatre, Ma Rainey House, and Alma Thomas House. This position serves as the primary coordinator for public programming while working collaboratively with community organizations, artists, educators, volunteers, sponsors, and city departments.

The coordinator ensures these historic venues provide engaging, educational, and inclusive experiences that promote tourism, economic development, and community engagement while preserving the historical significance of each facility.

The ideal candidate will have proven experience in event management, staff management, and customer service.

  • Plans, organizes, and evaluates daily operations.
  • Assists in onboarding, training, scheduling, and evaluating event staff.
  • Prepares program registration procedures and assists clients with conducting events in the facilities.
  • Coordinates work of various maintenance personnel involved in daily facility implementation.
  • Responsible for booking, planning, organizing, and executing special events to include all nonmajor, private, revenue-generating events, and non-ticketed events.
  • Create, distribute, and update various working documents for all assigned events, including staffing, event orders, cost estimates, and diagrams.
  • Attend and potentially lead weekly event operations and client meetings.
  • Implement and enforce facility rules, regulations, policies, and procedures for all special events.
  • Deliver world-class and an exceptionally high level of customer service experience to all clients, aiming to exceed their expectations.
  • Prepares timecards for staff.
  • Performs other related duties as assigned.
  • Proficient in Microsoft Office and other software.
  • Experience using social media platforms to promote events and engage audiences.
  • Must be self-directed, organized, and goal-oriented.
  • Scholarly expertise, practical management skills, and strong interpersonal abilities to steward collections, engage the public, and support the mission.
  • Strong research abilities to understand and develop accurate context and create educational content
  • Ability to understand and follow professional standards to maintain preservation, documentation, and ethical management of artifacts, art, and specimens.
  • Ability to manage multiple projects-from exhibit planning to budgeting while meeting deadlines and adhering to policy.
  • Strong time management and self-direction.
  • Ability to stay connected to the local and global museum and theatre community, attend conferences, research industry trends, and engage with the public to keep material relevant to goals.
  • Ability to stay adaptable and innovative. Ability to adapt to changing technologies, audience expectations and cultural contexts.
  • Ability to work flexible hours including nights, weekends, and holidays.

Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

The ideal candidate has one to two years of event experience.

Demonstrate a high level of professionalism. Ability to establish, develop, and maintain good working relationships with clients, sponsors, staff members, and event attendees. Ability to prioritize tasks while working in a fast-paced environment. Outgoing personality, energetic and proactive approach to work. Detail-attentive skills are a must. Excellent written and verbal communication skills. Computer literate with knowledge of event booking and diagramming systems.

Ability to anticipate and make recommendations based upon the needs of the clients.

This work is typically performed at a desk or table. The employee must occasionally lift objects and move event items around. Will be active a lot when setting up for events, tours, etc.
