Overview

The position provides World Class events services support in the planning, organization, and management of events within the Liberty Theatre & Cultural Arts Center, Civic Center, and Ice Rink, including major touring concerts, trade shows, sporting events, as well as private events. In addition, the Event Coordinator will also monitor the logistics of these events, and all event coordination tasks, from event inquiry through to conclusion.

The ideal candidate will have proven experience in event management, sports management, staff management, and customer service.

Responsibilities
  • Plans, organizes, and evaluates daily operations.
  • Assist in onboarding, training, scheduling, and evaluating event staff.
  • Prepares program registration procedures; assists clients with conducting events in the building.
  • Coordinates the work of various maintenance personnel involved in daily facility implementation.
  • Responsible for booking, planning, organizing, and executing Special Events to include all non-major, private, revenue-generating events, and nonticketed events.
  • Create, distribute, and update various working documents for all assigned events, including staffing, event orders, cost estimates, and diagrams.
  • Attend and potentially lead Weekly Event Operations and Client Meetings.
  • Implement and enforce facility rules, regulations, policies, and procedures, for all special events.
  • Deliver world-class and an exceptionally high level of customer service experience to all clients aiming to exceed their expectations.
  • Prepares timecards for part-time staff.
  • Performs other related duties as assigned.
Qualifications
  • Knowledge of facility rules and regulations.
  • Knowledge of the principles of accounting.
  • Skill in implementing policies and procedures.
  • Skill in problem-solving and decision-making.
  • Skill in management and supervision.
  • Skill in operating standard office equipment including computers and related software programs.
  • Skill in oral and written communication.
  • Experience in working in an arena, convention center, and/or sports professional organization.
  • Demonstrate a high level of professionalism.
  • Ability to establish, develop, and maintain good working relationships with clients, sponsors, and staff members.
  • Ability to prioritize tasks while working in a fast-paced environment.
  • Outgoing personality, energetic, and proactive approach to work.
  • Detail-attentive skills are a must.
  • Excellent written and verbal communication skills.
  • Computer literate with knowledge of event booking and diagramming systems.
  • Ability to anticipate and make recommendations based upon the needs of clients.
  • Flexibility to work long hours, evenings, and weekends. The schedule will include working weekends & holidays.
  • 1-2 years of event experience; ideal candidate has 1-2 years of event experience.
Education & Experience

Knowledge and level of competency commonly associated with the completion of specialized training in the occupational field, in addition to basic skills typically associated with a high school education. Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.

The ideal candidate has 1-2 years of event experience. Demonstrate a high level of professionalism. Ability to establish, develop, and maintain good working relationships with clients, sponsors, and staff members. Ability to prioritize tasks while working in a fast-paced environment. Outgoing personality, energetic, and proactive approach to work. Detail-attentive skills are a must. Excellent written and verbal communication skills. Computer literate with knowledge of event booking and diagramming systems.
