Overall Role & Purpose

As a Project Manager, you will lead the end-to-end planning and execution of enterprise technical capability development programs - primarily managing the global Systems Engineering Certificate Program (SECP). Your mission is to turn strategy into action by developing and managing plans, processes, controls, communication, and finances. You will operate as the central point linking program leadership, instructors, participants, regional partners, HR, Finance, vendors, and stakeholders, ensuring smooth, consistent delivery across regions.

Key

Duties & Responsibilities Program & Project Management
  • Develop and maintain integrated project plans for global cohorts and modules.
  • Translate program milestones into clear tasks, deadlines, dependencies, and deliverables.
  • Proactively monitor execution and identify risks related to scheduling, resources, finances, or delivery.
  • Track program risks, issues, decisions, and actions; elevate when necessary.
  • Coordinate multiple concurrent cohorts and work streams across regions and time zones.
  • Create standardized processes, checklists, templates, and controls for global scalability.
Cohort Planning & Delivery
  • Manage readiness for each cohort/module, including facilities, technology, catering, supplies, and travel.
  • Maintain detailed regional readiness and delivery plans.
  • Address logistics and participant needs proactively; coordinate post-module reviews and lessons learned.
Participant Lifecycle Management
  • Oversee participant processes from application to completion.
  • Maintain rosters, waitlists, application status, attendance, and program records.
  • Coordinate onboarding, pre-work, communications, and completion requirements.
Instructor Coordination & Support
  • Manage instructor rosters, assignments, and availability.
  • Organize meetings, preparation, materials, travel, and continuous development.
  • Facilitate instructor collaboration and capture feedback for improvements.
Financial Management
  • Maintain budgets, forecasts, expenses, and financial tracking.
  • Process purchase orders, invoices, vendor payments, and internal cost recovery.
  • Prepare financial summaries and variance analysis for leadership.
Communications & Stakeholder Coordination
  • Develop and deliver clear, professional program communications to all audiences.
  • Facilitate planning and governance meetings, capturing actions and decisions.
  • Build collaborative relationships across regions and organization levels.
Systems, Data & Administration
  • Keep program information accurate and accessible in Microsoft 365 (Planner, SharePoint, Teams, Loop).
  • Consistently manage data, documentation, and compliance across all program components.
  • Seek opportunities to simplify or automate routine tasks.
Reporting, Governance & Controls
  • Maintain dashboards, participation reports, instructor performance, and financial health metrics.
  • Identify and recommend improvements to operating processes and controls.
  • Document and report on decisions, risks, and lessons learned.
Continuous Improvement
  • Lead process reviews and operational retrospectives.
  • Recommend and implement changes for quality, scalability, and efficiency.
  • Update playbooks, templates, and documentation based on feedback and lessons.
Day-to-Day Activities

Review project plans, milestones, risks - Daily
Respond to participant applications/queries - Daily
Liaise with regional teams and stakeholders - Daily/as needed
Update records and trackers (Planner, financials) - Daily/weekly
Drive follow-ups and resolve issues - Daily
Coordinate logistics for cohorts/modules - Ongoing/by milestone
Monitor financial transactions - Weekly
Prepare/facilitate planning meetings - Weekly
Update dashboards/status reports - Weekly/Monthly
Draft communications for stakeholders - By milestone
Conduct readiness reviews - Before each module
Coordinate surveys and retrospectives - Post-module
Recommend and implement process improvements - Ongoing

Required Skills & Experience
  • Bachelor’s degree or equivalent experience.
  • 2-5 years in project/program management, operations, or learning/program delivery.
  • Proven experience managing complex projects with multiple priorities and stakeholders.
  • Strong skills in project planning, scheduling, risk management, and action tracking.
  • Experience with budgets, forecasts, purchase orders, procurement, and cost tracking.
  • Excellent problem-solving and resolution skills.
  • Effective written and verbal communication skills - comfortable with technical and non-technical audiences.
  • Superb attention to detail, follow-through, and data accuracy.
  • Advanced proficiency in Microsoft 365 (Excel, PowerPoint, Outlook, Teams, SharePoint, Planner, Forms, Loop).
  • Ability to quickly learn new systems and tools.
  • Experience creating standard processes, templates, and documentation.
  • Global mindset and strong interpersonal skills, especially in diverse/cross-cultural settings.
  • Self-motivated, proactive, and able to prioritize with limited oversight.
