Job Description
Mississippi Valley State University Department of Social Work seeks an Administrative Assistant to manage and support the office, supervise work study students and volunteers, and handle duties for the department Chair.
- Meeting and greeting students and guests
- Managing workflow to ensure deadlines are met and work is completed correctly
- Answering and directing telephone calls
- Maintaining office equipment (computers, copy machines, fax machines) and keeping inventory of furniture, electronics, and other equipment
- Ordering and maintaining office supplies, inventory checked and approved by department Chair
- Preparing responses and requests for information
- Attending departmental meetings and taking detailed minutes
- Organizing and scheduling appointments
- Writing and sending emails, correspondence, faxes, and forms
- Assisting with preparation of regularly scheduled reports
- Maintaining filing system
- Making travel arrangements
- Reconciling and submitting expense reports
- Serving as point of contact for students and alumni
Applicants must be able to lift, pull, bend, stand, and walk.
Required Qualifications- Bachelor’s degree
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel
- Ability to analyze and revise operating practices to improve efficiency
- Ability to create memorandums and take dictation
- Detail oriented and comfortable working in a fast‑pace office environment
- Exceptional communication skills
- Superior organizational skills and dedication to completing projects on time
- Three (3) to five (5) years of work experience in an office setting
- Excellent typing skills
- Bachelor’s degree (same as required, but re‑stated)
- Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel
