Prerequisites
- Must be a current BSO employee who has successfully completed their probationary period by the listed closing date.
- If no applications from BSO employees are received, the following candidates will also be considered for the vacancy.
- High school diploma or equivalent. An evaluation of foreign high school diploma may be required.
- Two (2) years of experience in administrative support functions.
- Experience should include extensive customer service contact work; ability to organize own work, meet deadlines and follow up on assignments with minimal direction.
- Demonstrated proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook.
- Demonstrated proficiency in Adobe Acrobat.
- People Soft experience preferred.
- Strong oral and written communication skills.
- Any equivalent combination of education, training, and experience. Such experience must be clearly documented in the application for consideration.
- Receives and processes training and education requests; maintains training participant records in the training tracking system.
- Evaluates training and education requests to ensure they have been completed properly and in compliance with agency policies and procedures.
- Compiles and prepares and distributes daily/weekly/monthly/annual statistics on training activities.
- Generates correspondence, lesson plans, curricula, handouts, manuals, and other training materials.
- Coordinates educational training requests with various higher learning centers, training institutes, and individuals.
- Retrieves data from a wide variety of formats, i.e., computer files, reports, records, forms, documentation.
- Coordinates the use of training facilities and equipment.
- Acts as liaison between supervisors, other departments, and outside agencies, gathering and relaying information as needed.
- Performs customer service activities; meets the public and employees, provides information regarding training programs; explains well-defined policies and procedures; takes telephone inquiries, ascertaining the nature of the call, and directs it to the appropriate staff member; takes telephone messages.
- Enter data into the agency wide personnel/payroll system to include payroll, purchase requisitions, budget items, invoices, and position requests.
- Prepares and processes purchase orders within authorized established threshold for office supplies, equipment, printing, and advertising.
- Creates and distributes weekly Training Division calendar of programs.
- Receives and reviews various reports, plans, and applications for the purpose of verifying the accuracy, and ensures necessary copies of pertinent documents are made.
- Prepares files and paperwork for archiving; compiles archive list, compiles boxes, and schedules delivery to archive center.
- Inputs and retrieves information from the Training Tracking System.
- Maintains logs and records of training inventory (hardware, software, office equipment), course documents, lab supplies, and general lab facilities.
- Ensures training rooms are clean and set up for scheduled training classes.
- Operates various office equipment, i.e., computer terminals, printers, copy machines, telephone systems, facsimile machines.
- Performs related duties as directed.
Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing, and/or pulling of objects and materials of lightweight (5-10 pounds). May require physical agility and balance for tasks, such as climbing, kneeling, bending, stooping, and/or reaching for objects at or above floor level. Tasks involve extended periods of time at a keyboard or workstation.
Work is performed in usual office conditions with rare exposure to disagreeable environmental factors.
