We are seeking a dependable, organized Fleet & Business Support Specialist to support our fleet, equipment, and day-to-day business operations. This position plays an important role in keeping our vehicles, equipment, drivers, records, and administrative processes running smoothly.

The ideal candidate is a strong communicator who can manage multiple priorities, work across departments, and take ownership of tasks in a fast-paced environment.

Experience with
fleet operations, DOT compliance, dispatching, equipment administration, or similar operational support is highly valued.

What You'll Do
  • Manage DOT compliance, fleet records, and required reporting
    .
  • Maintain accurate electronic records for vehicle registrations, inspections, maintenance, sales, and other fleet documentation.
  • Coordinate vehicle registrations, tag renewals, fuel cards, insurance documentation, and related items for drivers.
  • Help implement and maintain preventive maintenance programs for company vehicles and equipment.
  • Coordinate with outside vendors, repair facilities, and service providers.
  • Help ensure fleet operations comply with company policies and applicable local, state, and federal regulations.
  • Dispatch and assign loads to drivers
    , communicating route, schedule, and load information.
  • Monitor driver routes and provide support throughout the day as needed.
  • Serve as a liaison between drivers, the maintenance team, and operations to troubleshoot and resolve issues.
  • Provide drivers with clear work instructions and necessary documentation.
  • Maintain equipment billing for both company-owned and rented equipment
    .
  • Work closely with the Equipment Manager to support daily shop and fleet operations.
  • Coordinate and maintain insurance-related documentation across multiple departments.
  • Assist management with administrative responsibilities including data entry, filing, ordering supplies, recordkeeping, and interdepartmental coordination.
  • Provide professional, responsive service to employees, drivers, vendors, customers, and visitors.
What We're Looking For
  • 5+ years of experience in a similar administrative, fleet, dispatch, equipment, or operational support role preferred.
  • Experience with fleet management, DOT compliance, transportation, dispatching, or equipment operations is a plus.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple responsibilities and meet deadlines with minimal supervision.
  • Strong written and verbal communication skills.
  • Comfortable working in a fast-paced environment where priorities may change throughout the day.
  • Strong attention to detail and recordkeeping skills.
  • Proficiency with Microsoft Office, including Excel, Word, and Power Point , as well as database or spreadsheet software.
  • Ability to communicate and work effectively with drivers, field personnel, maintenance teams, management, and other departments.
  • Professional, dependable, and solutions-oriented approach to work.
