We are seeking an organized and proactive Equipment Rental & Logistics Coordinator to support our Equipment Department. This role is responsible for coordinating equipment rentals, transportation logistics, vendor relationships, and fleet support to ensure our project teams have the equipment they need—when and where they need it.
What You'll Do Equipment Rental Coordination- Serve as the primary point of contact for equipment rental requests across the company.
- Source and procure rental equipment that meets project needs.
- Solicit competitive pricing and negotiate rental rates and terms.
- Coordinate equipment deliveries, exchanges, extensions, and pickups.
- Monitor rental periods and proactively coordinate off-renting to reduce unnecessary costs.
- Review rental agreements and maintain accurate rental documentation.
- Coordinate the movement of company-owned equipment between jobsites, shops, and storage yards.
- Schedule equipment mobilizations and demobilizations with project teams.
- Communicate equipment availability and transportation updates.
- Work closely with Project Managers, Superintendents, Drivers, and Equipment personnel to prioritize equipment moves.
- Procure third-party hauling services when internal transportation resources are unavailable.
- Obtain competitive pricing from transportation providers.
- Coordinate oversized and overweight permits for equipment moves.
- Serve as the Equipment Department liaison with the company's third-party DOT compliance provider.
- Build strong working relationships with rental vendors, dealers, and transportation providers.
- Research rental purchase options (RPOs), long-term rental programs, and market trends.
- Assist the Fleet Director with cost comparisons and fleet utilization information.
- Coordinate rental records and equipment documentation with internal departments.
- High school diploma or GED.
- 3+ years of experience in equipment rental, fleet administration, logistics, transportation, heavy equipment, or a related field.
- Strong Microsoft Office skills, including Excel, Outlook, and Teams.
- Excellent communication, organization, and customer service skills.
- Ability to prioritize multiple projects and meet deadlines.
- Valid driver's license with an acceptable driving record.
- Heavy civil construction experience.
- Experience working with heavy equipment rental vendors.
- Familiarity with heavy equipment transportation and permitting.
- Experience using fleet management or construction software.
