Senior Finance Manager

Pluto Healthcare is a healthcare staffing organization placing travel and local contract nurses and allied health professionals in health systems and hospitals across a growing multi-state footprint.

We are hiring a Senior Manager Finance Operations to run our money cycle end to end — payroll, invoicing and AR, accounts payable, banking operations, and multi-state tax and licensing compliance. This role manages direct reports and has a reporting relationship directly with ownership.

This is a hands-on role for someone who takes real pride in a function that runs cleanly. You will be in the systems every week, not reviewing from a distance, and you will be the person who can personally cover any seat on your team when someone is out.

Payroll. Weekly multi-state W-2 payroll for travel and local contract clinicians, including off-cycles, corrections, and resolving pay discrepancies directly with the people affected.

Invoicing and AR. Timecard-based billing, submission through client and VMS portals, dispute and rejection management, credit and rebill, cash application, and direct ownership of collections and DSO.

Accounts payable and monthly close. Vendor setup and terms, payment runs, and the full AP subledger close — accruals, cut-off, and vendor reconciliations — delivered to our outside accountant on a fixed monthly calendar.

Banking operations. Cash positioning and weekly cash reporting, payment origination and approval workflow, administration of bank fraud controls including positive pay and ACH debit block, check register management, and bank fee review.

Multi-state tax and compliance. Registrations, withholding accounts, SUTA rates and local tax jurisdictions across our footprint, including municipal and school-district level taxation. Coordination of filings through a third-party tax filing agent, including jurisdiction mapping, quarterly transmissions and annual W-2 processing.

Workers' compensation. Premiums, monthly payroll reporting, annual true-up and annual audit across both monopolistic state-fund and private-carrier states.

Business licensing. State healthcare staffing agency licensure and renewals, associated periodic reporting, and municipal business licenses.

Recurring reporting. Weekly cash and headcount reporting, and monthly management reporting to ownership.

People leadership. Direct supervision of in-office staff, cross-trained so each can cover the other — and so can you. You will also manage the relationship and close calendar with our outside accounting firm.

• Workday Payroll process experience.
• ADP Smart Compliance, or comparable third-party tax filing agent experience.
• Bullhorn Time & Expense, or another staffing timecard-to-invoice platform.
• Background in staffing, PEO, home health, or another business with weekly payroll and bill-off-timecards mechanics.
