Office Administrator/ Coordinator
EMH&T is searching for a highly skilled Project Administrator to support our Development II, Commercial Design team located in Columbus, OH.
This position provides a broad range of administrative and clerical support. The ideal candidate is an experienced, dependable professional who is capable of managing multiple priorities simultaneously, as well as experienced in providing administrative support in a fast-paced environment with diplomacy and confidentiality. You must be flexible, proactive, committed to exceptional client service, command a strong attention to detail, and enjoy teamwork.
Responsibilities- Work with project engineer/manager to obtain and submit project permits, track progress, and follow up with agencies for approvals.
- Request scope/fee from consultants, prepare proposals/work orders for client submission, and manage project numbers in accounting software.
- Attend staff meetings, create and maintain records on work in progress, and provide progress updates against timelines and deliverables.
- Participate in project conference calls/web-conferences, document meeting minutes, and track assigned tasks.
- Provide administrative support including deliveries, ordering materials, scanning contracts, scheduling meetings, preparing meeting minutes and training sessions, gathering proposal documents, maintaining electronic filing systems, and archiving.
- There will be some local travel to deliver plans. You will, on occasion, provide support for the reception desk.
- Other related tasks as assigned.
- Strong written and verbal communication skills are essential.
- Ability to manage time and tasks effectively.
- Familiarity with Microsoft Office and PDF software and technology.
- People skills and ability to work effectively with others always in a professional manner.
- Ability to manage a fast-paced environment and work with a sense of urgency.
- Familiarity with civil engineering terminology and processes is a plus but not required.
- Associate’s degree in Business Administration, Communication or related field.
- Minimum of 7 years experience in an administrative role in a business setting with experience reporting to senior level positions.
- Proficiency with entire Microsoft office suite as well as PDF software.
- Exposure to engineering consulting firm environment, preferred.
