Summary description:
Provide high-level support by coordinating communications and ensuring smooth operations within the district office. Supports the Superintendent through strong organization, clear communication, and careful handling of confidential information to help the district run effectively.
- Assist the Superintendent with scheduling, including scheduling/confirming meetings, notifying directors of out-of-office times, and providing the Superintendent with daily reminders
- Assist the Superintendent with communication, including drafting emails, quarterly newsletters, proofreading, making calls, etc.
- Assist with board meeting organization and assembly of the board packet
- Assist the superintendent with creating the school calendar
- Monitor and update the compliance calendar to ensure that all deadlines are met
- Ensure all permits/licenses for the school facilities are kept current
- Maintain staff files (ie, background checks, licenses, etc.)
- Track required staff training and maintain Public School Works records
- Create and post the annual report
- Assist with TalkingPoints organization and questions
- Update and maintain job descriptions
- Schedule, track, and enter drills for the school year
- Process building reservation forms and enter them in the calendar(s) accordingly, including requests from outside organizations
- Add field trips to the calendars once approved and notify staff of approval
- Manage badges, keys, email signatures, and nameplates for staff
- Keep track of permits and licenses for the school facilities
- Create and update school building layouts and staff locations
- Plan and organize meals for staff events (orientation, conferences, etc.)
- Support and help plan the staff retreat
- Assist with school-wide fundraisers
- Plan and organize potlucks
- Plan and organize staff likes and secret staff
- Assist with planning for graduation
- Ensure preparedness for Compliance Visit and Onsite Annual Review
- Oversee submission of all requested documents
- Maintain staff assurance list and communicate, and collect items from staff
- Meet monthly with the superintendent to go over the required compliance items for the month
- Research and implement programs to maintain compliance
- Observe and collaborate with others in your area of specialization
- Attend professional development opportunities throughout the school year or summer for your continuous improvement
- Reflect and self-evaluate often
- Update website pages and make changes as necessary
- Maintain all social media accounts
- Build a relationship with students and parents so that they know you want only the best for the student
- Submit all required items to administration/office in a timely manner
- Return all communication to parents within 24 hours of receiving it
- Be supportive of the PPA team at all times, but especially when speaking to parents and students
- Communicate with supervisor in regards to staff not following policies of PPA
- Complete anything assigned by your supervisor
