PRIMARY OBJECTIVE
Festa is serving our neighbors, building life‑changing relationships that end poverty in this generation. We partner with children and families facing poverty, many of whom are New Americans living in the suburbs. Festa is seeking an exceptional Executive Assistant who is highly organized, loyal, emotionally intelligent and deeply committed to supporting the Executive Director (ED) at the highest level.
This is not a traditional administrative role. This is a strategic partnership.
The right candidate will anticipate needs before they arise, protect the Executive Director’s time and priorities, handle sensitive information with complete discretion and serve as a trusted gatekeeper and thought partner. You will play a key role in strengthening donor relationships, supporting board engagement and ensuring the ED can operate at peak efficiency.

ESSENTIAL DUTIES AND RESPONSIBILITIES Executive Support & Operations- Serve as the principal point of contact for staff, donors, partners, and community members seeking to communicate with the ED
- Manage complex calendars across platforms to ensure efficient use of time
- Oversee and triage the ED’s inbox—draft responses, route emails and ensure timely follow‑up
- Track, monitor and advance action steps on major initiatives
- Compose and edit high‑level correspondence, reports and presentations
- Attend select meetings and appointments with the ED, take notes and manage follow‑up
- Anticipate needs, identify risks and promptly bring issues to the ED's attention
- Assist with onboarding and coordination of central staff team
- Support relationship cultivation with the Board of Directors
- Prepare materials and coordinate communication for board meetings
- Attend monthly board meetings and take accurate minutes
- Track board follow‑up items and deadlines
- Draft and edit donor correspondence and thank‑you communications
- Use Bloomerang CRM to track donations, record notes and manage follow‑up
- Assist the ED in cultivating donor and partner relationships
- Support grant‑related communication in collaboration with philanthropy team
- Communicate with warmth, professionalism and promptness
- Manage sensitive HR and donor information with strict confidentiality
- 3+ years of administrative experience supporting senior leadership in a fast‑paced environment
- Exceptional organization and extreme attention to detail
- Proven ability to independently prioritize and manage multiple moving parts
- High emotional intelligence and strong discernment skills
- Excellent written and verbal communication skills
- CRM/database experience required (Bloomerang preferred)
- Proficiency in Microsoft Office and Google Workspace
- Absolute discretion and loyalty
