Overview
Career opportunities with Franklin Park Conservatory. The Development Coordinator supports the Conservatory’s strong reputation for excellent donor service through meticulous management of donor data and internal processes. This detail-oriented, donor-centric team member is responsible for maintaining accurate giving records, executing the Conservatory’s donor stewardship plan, and providing comprehensive administrative support to the Development department, while serving as a frontline point of contact for the public and donors.
Responsibilities- Database Support
- Prepare and process gifts from all revenue sources (check, ACH, web, credit card, etc.) for batch entry in a timely and accurate manner.
- Accurately enter and code all gift details in the database, including amount, campaign, fund, and related attributes.
- Balance gift batches and reconcile weekly reports to ensure accuracy and completeness of all transactions.
- Prepare and distribute weekly gift reports for Development team review.
- Maintain accurate and up-to-date constituent records, including contact information, affiliations, and constituency details within Tessitura.
- Produce and mail timely gift acknowledgements and pledge reminders, and proactively communicate with donors regarding payment methods.
- Ensure all donor and gift information is handled with the highest level of confidentiality and data integrity.
- Process recurring giving payments and support proactive donor communication regarding their payment preferences.
- Report weekly gifts to relevant internal stakeholders, including Membership, via established reporting tools (e.g., check log).
- Ensure constituent labels and segmentation (e.g., VIP, Board, Alumni Board, MS, etc.) are consistently maintained and updated.
- Utilize Tessitura for reporting, data exports, and basic analysis to support Development operations.
- Administrative Coordination
- Schedule team meetings and events, securing locations and ensuring the Development Team and Vice President of Philanthropy calendars and Order of the Day is up-to-date.
- Schedule donor meetings and secures event locations as requested.
- File monthly expenditures for the Development team and the Vice President of Philanthropy and maintain a year-to-date balance summary against the expenditures budget.
- Compile and create the Development Committee meeting materials.
- Order and procure supplies and collateral for various development efforts.
- Send emails and annual campaign mailings on behalf of the Development Team and report on progress and outcomes.
- Stewardship Execution
- Produce appropriate and timely gift acknowledgement letters and ensure all acknowledgements are distributed for signature.
- Weekly pulls 100+ donor contributions and send to assigned Development Committee members for their stewardship outreach.
- Annually, coordinate video shoots, photo shoots, and proactively collect donor statements for social media, solicitations, or stewardship as needed.
- Build and maintain the “Stewardship Store” with materials and links, and support the prompt execution of donor stewardship, as requested.
- Collect and compile stories from various Conservatory teams and surveys; work with Grant and Development Writer to create and distribute impact reports.
- Recognize donor groups for milestone giving, executing and updating this plan annually.
- Perform other duties as assigned.
- Bachelor’s degree in business, communications, or related field.
- Experience in meeting planning and budgeting.
- 1-3 years of relevant work experience is preferred.
- Technical and persuasive writing experience is preferred.
- Proficiency with Microsoft Word, PowerPoint, Excel and other basic software programs.
- Experience in the Tessitura CRM preferred.
- Strong organizational, interpersonal, and teamwork skills.
- Professional and friendly demeanor with the ability to develop strong working relationships with internal and external customers.
- Strong verbal and written communication skills to communicate effectively with trustees, donors, staff, and community leaders.
- Working knowledge of business writing, grammar, and punctuation.
