Job Title

Brokerage Coordinator

Overview

This position is responsible for administrative and client‑facing marketing support with a high‑performing real estate brokerage team. The Brokerage Coordinator reports to the Senior Operations Manager and serves as the support for the fee‑earner and/or team, managing client service activities such as pitch and proposals, transaction support, and fee‑earner administrative support.

Responsibilities
  • Creates professional‑looking, templated marketing flyers, email announcements, and other marketing items.
  • Creates and ensures routines/systems that are followed by the team to drive internal functionality and profitability.
  • Drives change to continuously improve processes and procedures over time.
  • Brings new ideas to further the team’s goals.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
  • Maintains confidence and protects operations by keeping information strictly confidential.
  • Helps maintain CRM database in Salesforce‑based commercial real estate CRM.
  • Prepares reports by collecting and analyzing information.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Manages, creates, and tracks expense reports.
  • Drafts written responses or replies by phone or email when necessary; responds to requests for information.
  • Acts as liaison with other departments and outside agencies, including high‑level staff.
  • Assists with special projects and duties as assigned.
  • Maintains and updates team website through user‑friendly interface.
  • Other duties as assigned to aid in the successful and profitable operation of the organization.
Qualifications
  • Relevant experience preferred; college degree preferred.
  • Highly driven, organized and detail oriented.
  • Self‑starter and continuously seeks improvement and growth.
  • Ability to improve existing processes and create new ones to improve efficiencies.
  • Proficient in Adobe, specifically InDesign (or willing to learn), Microsoft Word, Excel, PowerPoint and Outlook.
  • Real estate license favored or in the process, but not necessary.
  • Previous experience in the real estate industry a plus.
  • Proactive, strategic and forward thinking.
  • Has knowledge of customer relationship management software.
  • Ability to maintain confidentiality and discretion.
  • Strong written and verbal communication skills.
  • Able to adapt to changes quickly in a fast‑paced environment.

Competitive pay ranges from $25.13 to $29.56 per hour and may vary based on geographic location, date of hire, total hours worked, job type, business line, and collective bargaining agreements.

The company will not pay less than minimum wage for this role.
