Summary
This position provides administrative support, enabling the Young Life field ministry area office to function in an organized and efficient manner.
Essential Duties- Answer correspondence, do filing, and prepare mailings.
- Answer phones and respond to voicemails, e‑mail and phone calls in a timely and professional manner.
- Gather articles, pictures, layout, production, mail, etc. for newsletters from area staff; create club/event postcards, flyers, and/or maps.
- Send prayer e‑mails, monthly updates, personal support mailings; create and maintain area M‑Site; send thank‑you letters to donors.
- Manage monthly expenses and budgets, including area bank account records, FDT, area and staff expense reports; pay bills and submit receipts.
- Maintain contact databases, including updating donor database, entering club card data into kid database, updating parent database, maintaining newsletter recipient list, banquet invitation list, Palm/Outlook contacts, and e‑mail distribution lists.
- Track and report vacation, sick and personal days for eligible area staff; submit timesheets for hourly staff; complete personnel action requests and required documents for hiring or terminating staff.
- Coordinate area meetings (staff meetings, leadership meetings, committee meetings); track camp participation, payments and health forms; send letters to parents about camp sign‑ups, itineraries and health forms; manage fundraiser marketing and construct/distribute camp brochures.
- Coordinate banquet, golf marathon, auction events: create invitations, sponsor packets, host packets, banquet program, donor cards; track guest lists, table sponsors, RSVPs, and donations; mail invitations and send thank‑you notes to donors.
- Provide training to area office assistants, directors, committee members and volunteer team leaders on field administration processes and applications.
- High school education or equivalent; associate’s degree preferred. Ongoing education encouraged.
- Previous administrative assistant experience preferred.
- Typing speed of 55 to 60 words per minute with few errors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills, attention to detail, ability to handle concurrent tasks.
- Good grammar skills and strong written and verbal communication skills.
- Ability to maintain confidentiality, basic accounting skills, and detail‑oriented multi‑tasking ability.
- Proven relational skills with both kids and adults; initiative in developing processes and systems around events, data organization and maintenance.
- Great customer service skills.
