Job Title:
Administrative Assistant 3 – College of Public Health

Work Schedule:
Monday – Friday, First Shift. Hybrid (remote and in-office).
Position Type:
Regular, 40 scheduled hours.
Pay Range: $21.35–$27.88 per hour.
Responsibilities- Coordinate and manage calendars, meetings, and appointments for division chairs and program leaders (20%).
- Prepare agendas, meeting materials, reports, presentations, and other administrative documents (20%).
- Coordinate domestic and international travel arrangements, reimbursements, purchasing, and other administrative transactions in accordance with university policies (20%).
- Serve as primary administrative resource for assigned divisions, responding to inquiries and facilitating communications (20%).
- Maintain departmental records, files, databases, and documentation (10%).
- Compile, organize, and prepare routine reports, data, and information to support division and program operations (10%).
- Assist with college-wide initiatives, events, and special projects (10%).
- Assist the Dean's Office as needed and perform other duties as assigned (10%).
Job Duties (Time Distribution)
- 50%:
Coordinate calendars, meetings, agendas, support communications, prepare reports, anticipate needs, and ensure timely completion. - 25%:
Coordinate travel, reimbursements, purchasing, maintain records, handle confidential information. - 15%:
Establish and maintain effective relationships with faculty, staff, students, and partners. - 10%:
Backup college administrative support, provide continuity, and perform other duties.
Required Qualifications
- High School diploma or GED.
- At least 2 years of relevant experience.
- Associate degree in relevant field.
- 4–6 years of relevant experience.
- Strong written and verbal communication skills with discretion and confidentiality.
- Proficiency in Microsoft Office (Word, Outlook, Excel, One Drive, PowerPoint) and project management tools.
Primarily office setting. Extended periods of sitting, occasional standing/walking. May require lifting up to 25 pounds with or without reasonable accommodation.
