Job Title: Property Management Coordinator - Residential Team
Reports To: Sr. Property Manager
Position SummaryNAI Ohio Equities is seeking a highly organized and customer-focused Property Management Coordinator to support our Residential Association Management Team. This position plays a vital role in ensuring excellent service to condominium and homeowners association residents while assisting Association Managers with administrative operations, communication, and day‑to‑day coordination.
The ideal candidate thrives in a fast‑paced environment, demonstrates exceptional attention to detail, and enjoys building positive relationships with residents, board members, vendors, and team members.
Responsibilities- Serve as a primary point of contact for residents and homeowners, responding to inquiries professionally and promptly.
- Assist Association Managers with resident communications, notices, and correspondence.
- Coordinate and track work orders, maintenance requests, and vendor follow‑up.
- Update Condo Certs with association financials, insurance, delinquency reports, etc.
- Maintain accurate owner and resident information within management software systems.
- Assist with administrative tasks for assigned communities.
- Coordinate mailings, community announcements, and resident portal communications.
- Monitor deadlines and follow up on outstanding action items to ensure timely completion.
- Maintain organized electronic and physical files for assigned associations.
- Provide support during annual meetings, elections, and special meetings as needed.
- Work collaboratively with accounting, maintenance, and management teams to deliver exceptional service.
- Coordinate property management meetings, Lunch & Learns, and special events.
- Assist with onboarding of new associations.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Two or more years of administrative, customer service, or association management experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational skills with the ability to prioritize multiple tasks and deadlines.
- Proficiency in Microsoft Office, including Outlook, Word, and Excel.
- Experience with property management software such as Yardi, Condo Cafe, or similar platforms is preferred.
- Ability to maintain confidentiality and exercise sound judgment.
