Job Title: Administrative Assistant
Pay range: $16.00-$25.00 an hour
Reports To: Office Administrator
Work Schedule: Monday thru Friday, 8:00 a.m. to 4:30 p.m.; every other Saturday morning, 8:00 a.m. to 12:00 p.m.;
Memorial Day Monday; and Cemetery Sunday (first Sunday in November).
The Administrative Assistant provides administrative support for the work conducted at Catholic Cemetery. The Administrative Assistant performs general office or secretarial work of moderate difficulty and performs other duties as assigned. The position requires prior secretarial experience and is expected to use personal judgment in carrying out routine duties and responsibilities of the position. This job description reflects management's assignment of essential job responsibilities;
it does not prescribe or restrict the tasks that may be assigned. All the duties and standards within this job description will be performed according to the established Cemetery policies, procedures and guidelines.
- Perform secretarial and receptionist functions such as answer the phone, manage incoming and outgoing mail, make photocopies, fax documents, and other clerical duties as assigned.
- Establish and maintain complex filing systems. Receive, sort, file and retrieve forms, correspondence and documents. Process documents to update and maintain files and records.
- Compile reports and summaries of work; update, check and complete records, forms and documents. Verify discrepancies and make corrections.
- Perform customer service functions by answering client/visitor requests and questions.
- Process and distribute confidential and sensitive documents.
- Compose, format and type routine correspondence, reports and other documents.
- Order office and program supplies as needed or requested.
- Coordinate and plan special occasion days and assist with various special projects, as needed.
- Comply with federal, state and local safety laws.
- Maintain a neat and safe work area.
- Regular attendance and punctuality are essential for this job.
- Perform other duties as assigned.

- Required: Compliance with BCI&I background checks and completion of Protecting God's Children program.
- Education: High School degree or equivalent is required; secretarial training is preferred.
- Experience: Two years of experience in clerical work or any equivalent combination of education, training and experience that demonstrates the ability to perform the duties of the position; computer experience is required.

Understanding of communications and the Catholic perspective; ability to serve others; excellent typing, filing and proofreading skills, excellent communication skills and knowledge of office equipment. Knowledge of Microsoft software applications (Word, Outlook, Excel, PowerPoint). Typing of 30-40 words per minute with accuracy. Working knowledge of business English, spelling and arithmetic; office practices, procedures and filing methods are required. - Interpersonal
